This role is focused on ensuring accurate, timely, and compliant payroll execution for a distributed, multi-site U.S. workforce operating across retail locations. The HR – Payroll Specialist will own end-to-end biweekly payroll processing, leveraging ADP to validate timecards, manage adjustments, and prevent overpayments or underpayments. You will serve as a key point of contact between field teams, managers, and internal workforce stakeholders to ensure payroll data integrity and smooth execution of payroll cycles. This position requires strong attention to detail, deep familiarity with payroll systems, and the ability to operate in a fast-paced, deadline-driven environment aligned with U.S. Eastern Time. You will also contribute to process improvements, reporting, and compliance efforts while supporting broader HR and finance-related initiatives. This is a highly operational role where accuracy, communication, and consistency directly impact employee satisfaction and business performance.
- Manage end-to-end biweekly payroll processing in ADP for a multi-site U.S. retail workforce, ensuring accuracy and timeliness.
- Validate employee timecards, pay periods, and overtime calculations to prevent errors, overpayments, or underpayments.
- Coordinate with field managers and workforce teams to collect missing or incomplete timesheets ahead of payroll deadlines.
- Process payroll adjustments, corrections, and updates within the payroll system while maintaining data accuracy.
- Verify employee onboarding and payroll documentation, including tax details, banking information, and personal records.
- Liaise with U.S.-based store and district managers to ensure accurate payroll inputs and resolve discrepancies.
- Support payroll reporting, including gross profit and payroll-related analysis to inform business decisions.
- Contribute to continuous improvement initiatives for payroll and pay/bill processes, ensuring greater efficiency and compliance.
- Assist with ad hoc HR and finance tasks, including payroll-related special projects and data reporting needs.
- Bachelor’s degree in Human Resources, Accounting, Finance, or a related field.
- 5+ years of experience in payroll management or payroll operations roles.
- Strong hands-on experience with ADP payroll systems is required.
- Experience working with U.S.-based teams or clients in a payroll or HR capacity.
- Strong understanding of payroll regulations, labor rules, and compliance requirements.
- Excellent attention to detail with strong numerical and analytical skills.
- High level of organizational and time management ability in deadline-driven environments.
- Strong communication skills, both written and verbal, with the ability to coordinate across multiple stakeholders.
- Ability to handle sensitive employee data with strict confidentiality.
