ABOUT THIS ROLE
The Program Coordinator for Policy Program Administration plays a critical role in supporting the coordination, governance, reporting, and administrative operations of Policy Programs, the largest personnel and financial sector of the Aspen Institute.
This part-time role requires a highly organized, detail-oriented professional who exercises sound judgment, maintains confidentiality, and effectively manages multiple priorities. The Program Coordinator partners closely with leadership and Program Directors to ensure reporting integrity, governance excellence, and smooth operational execution. This position offers high visibility within Policy Programs and direct engagement with senior leadership and Board-level governance processes. It is an excellent opportunity for someone seeking to deepen their experience in program administration, executive support, and organizational coordination within a mission-driven environment.
This is a part-time role expected to work up to 20 hours per week, with a full-time equivalent salary range of $52,000 - $58,000. In accordance with our Reimagining Work policy, the Program Coordinator should be willing to be in-person with colleagues a minimum of 40% of the time while having the flexibility to work remotely for the balance.
WHAT YOU WILL DO
Governance & Reporting
- Ensure Policy Programs meet internal reporting requirements and deadlines.
- Compile, review, and validate quarterly reports for accuracy and completeness.
- Prepare comprehensive Board reports three times per year.
- Coordinate meetings between Board members and Policy Program Directors.
- Create, maintain, and update documentation related to Policy Programs.
- Prepare materials and provide administrative support for mid-year and end-of-year evaluations.
Meeting & Event Oversight
- Support Policy Program Director (PPD) meetings by:
- Drafting and distributing agendas.
- Booking meeting rooms and coordinating logistics.
- Arranging guest speakers, as appropriate.
- Ensuring smooth and professional meeting execution.
WHAT YOU WILL NEED TO THRIVE
- Bachelors degree and 1 year of experience, OR HS Diploma and 3 - 5 years experience required.
- Strong organizational and project management skills.
- Exceptional attention to detail and accuracy.
- Ability to handle sensitive information with discretion.
- Strong written communication skills, particularly in preparing reports and formal documentation.
- Ability to manage multiple priorities in a fast-paced environment.
- Experience supporting senior leadership preferred.
