Position Overview
SisterLove is seeking a Operations and Executive Support Manager to oversee key operational functions while also serving as a strategic partner to executive leadership. This hybrid role combines office administration, operational oversight, and executive support, ensuring efficient internal processes and high-level administrative support.
This position will report directly to the Administration & Operation Director while also working closely with the CEO, Vice President of Administration & Operations and Senior Management Team. The ideal candidate will be a highly organized, detail-oriented professional with strong leadership skills, administrative experience, and a commitment to SLI’s mission.
Key Responsibilities
Executive & Board Support
- Manage the CEO’s schedule, ensuring efficient calendar management and appointment coordination.
- Serve as a primary liaison between the CEO and internal/external stakeholders, including the Board of Directors.
- Draft, edit, and manage correspondence for the Directors, VPs and/or Leader Team.
- Coordinate Board meetings, including drafting minutes, preparing materials, and arranging logistics.
- Assist in planning and executing high-level meetings, retreats, and strategic planning sessions.
- Maintain confidentiality and discretion in handling sensitive organizational matters.
Operations & Administration
- Act as the primary administrative point of contact for the organization, handling inquiries and directing requests as needed.
- Manage office functions, including ordering supplies, handling inventory, and overseeing office maintenance across multiple locations.
- Oversee vendor relationships and ensure timely invoicing and payments.
- Coordinate IT support, ensuring office equipment and technology infrastructure function efficiently.
- Maintain updated records for office supplies, contracts, leases, and service agreements.
Financial & Accounting Support
- Work with the Finance and Operations team to track expenditures and ensure financial compliance.
- Process invoices, budget reconciliations, and office-related financial transactions.
- Manage financial documentation related to vendor payments, expense reimbursements, and operational costs.
Facility & Property Management
- Oversee maintenance, repairs, and security for SisterLove’s properties.
- Liaise with contractors and service providers for facility needs, including cleaning, security, and IT support.
- Ensure compliance with safety regulations, insurance policies, and organizational standards.
- Coordinate space planning and office relocations when necessary.
Special Projects & Strategic Initiatives
- Manage and execute organizational special projects as assigned by executive leadership.
- Assist in event planning, outreach, and partnership development.
- Maintain up-to-date information on organizational programs and initiatives to support executive decision-making.
Required Skills & Qualifications
- Bachelor’s Degree in Business Administration, Management, or a related field.
- 5+ years of experience in an administrative, operational, or executive support role.
- Strong proficiency in Microsoft Office (Word, Excel, PowerPoint) and project management software.
- Experience with vendor management, office administration, and financial processing.
- Excellent written and verbal communication skills.
- Ability to prioritize multiple responsibilities in a fast-paced environment.
- Strong organizational and leadership skills, with attention to detail and problem-solving abilities.
- Experience handling confidential and sensitive information with discretion.
- Ability to work independently and collaboratively
- Must reside in Georgia and have reliable transportation.
