About This Position
Position Summary:
The Operations Assistant plays a critical role in supporting daily production operations across multiple sites by ensuring accurate documentation, inventory tracking, data entry, reporting, and communication. This position requires strong attention to detail, excellent organizational skills, and the ability to multitask in a fast-paced environment.
Key Responsibilities:
Document Preparation & Processing
- Print daily traveler sheets and pallet tags.
- Verify pallet tag data against production records and make necessary corrections.
- Create partial tags and update production records in Access.
- Distribute and collect daily production paperwork, including unused tags and tracking sheets.
- Enter shipping BOLs (Bills of Lading) into Access and generate shipping documentation and reports.
- Create pre-ship pallet reports and communicate shipment details to appropriate teams.
- Sort, verify, and delete unused pallet tags as needed.
Inventory & Reporting
- Generate and maintain skid inventory reports by entering TPIN and Julian Date/Product data.
- Update and distribute Lunchly reports, including hours worked, morning report, and IN reports.
- Compile and distribute detailed employee hours reports by line/product.
- Maintain and update yield trackers for facility.
Inbound/Outbound Coordination
- Receive and organize inbound BOLs
- Assist in preparing and processing BOLs for shipments throughout the day.
- Coordinate with warehouse staff for daily paperwork pickups and deliveries.
System & Software Use
- Utilize Microsoft Access, Aptean, and Excel for production data entry, inventory tracking, and report generation.
- Upload and manage documentation using Microsoft Teams.
- Maintain organized digital and physical records for audit and compliance purposes.
Administrative Support
- Scan and email attendance sheets.
- Answer and manage email communications throughout the day.
- Support MO (Manufacturing Orders) entry and tracking across multiple business units.
- Assist with invoicing for designated locations.
- Collaborate with team members on PPE and supply inventory needs.
- Support discrepancy investigations related to pallet tagging or inventory.
Required Skills & Qualifications:
- Strong proficiency in Microsoft Excel, Access, and Teams.
- Ability to manage multiple tasks and prioritize effectively.
- Excellent communication and email etiquette.
- High attention to detail and accuracy in data handling.
- Previous experience in a production or logistics environment, preferred.
- Familiarity with BOLs, inventory systems, and production documentation is a plus.
Work Environment:
- Office and production environment; regular movement between desk and warehouse areas required.
- Fast-paced, deadline-driven setting with multiple daily reporting tasks.
