Sales and Conference Administrator in grapevine, Texas at Hilton DFW Lakes Executive Conference Center

The Sales and Conference Administrator supports the Sales and Conference Management teams by managing correspondence and acts as a primary communication link between clients, Sales Managers and internal hotel departments (such as Banquets, Front Desk and Housekeeping) to deliver exceptional guest experiences.

Responsibilities of the position include:

1. Maintaining incoming leads, and preparing monthly reporting.
2. Auditing contracts, preparing Daily events report, and creating all in house BEO's.
3. Preparing monthly reports for the DOSMManage group turnover for definite bookings with recaps, fully executed sales contracts and addendums with turnover checklist
4. Input group pick up using statistical reports
5. Auditing contracts to bookings for accuracy
6. Coordinating site inspections for Sales and Conference Managers.
7. Preparing the daily check log, daily events report, and 10 day report.
8. Organize and maintain group assignment calendar.

Previous experience in a full service hotel as a Sales or Conference Planning Administrator

High attention to detail with the ability to manage multiple overlapping deadlines and tasks

Proficiency in Microsoft office programs

Familiarity with hotel property management CRM systems (Salesforce, PEP, One Source)

Able to perform job functions with minimal supervision

Knowledge of Accounting processes including accounts payable and receivable

Ability to work cohesively with other departments
