Sales Operations Coordinator - Administrative Asst III

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Sales Operations Coordinator - Administrative Asst III based in the United States.

This role provides essential administrative and operational support to a virtual sales team, helping ensure that daily activities run efficiently and accurately. You will coordinate leads and tours, maintain Salesforce reporting, support contracts and signings, and help sales representatives with equipment and basic technical issues. The position combines sales administration, reporting, compliance, research, and cross-functional coordination in a fast-paced environment. You will work closely with Sales, Marketing, management, and affiliated departments to keep processes aligned with established procedures. The role is well suited to an organized, tech-savvy professional who is comfortable managing multiple priorities and supporting sales teams. Previous timeshare sales or operations experience is required.

Accountabilities:
  • Assign leads and tours according to established rotation processes and manage tour waves and allotments through Tour Management.
  • Maintain and update SharePoint presentation materials and ensure sales team members follow established procedures for uploading presentations.
  • Provide basic technical troubleshooting and operational support to sales agents and managers.
  • Communicate changes to tour waves and related operational information with Sales and Marketing leadership and help resolve issues promptly.
  • Ensure tours and sales are accurately recorded in Salesforce and provide information required for accurate reporting.
  • Distribute equipment and technology needed by team members working remotely.
  • Pull and distribute Power BI profiles, tour histories, and other relevant reporting materials to sales agents.
  • Assist owners and agents throughout the contract, document, and signing processes, including following up on outstanding documentation when needed.
  • Coordinate with Marketing to reschedule or move tours as required.
  • Assist with submitting contract information and monitor signing processes to ensure transactions remain on schedule.
  • Support management and sales teams with accurate paperwork, call dispositions, reporting, and compliance requirements.
  • Help manage phone calls and correspondence while ensuring company policies and procedures are followed.
  • Conduct research related to II, RCI, Registry memberships, Club enrollment, deeding, financial information and history, and escalated cases.
  • Coordinate with affiliated departments to ensure Sales and Marketing administrative processes remain efficient, consistent, and compliant.
  • Perform additional administrative and operational duties required to support a successful sales organization.

Requirements:

  • High school diploma, GED, or equivalent.
  • Minimum of 3 years of timeshare sales experience; timeshare operations experience is also relevant.
  • Advanced knowledge of Microsoft Excel.
  • Previous experience supporting sales teams in a fast-paced operational environment.
  • Strong organizational and administrative skills with the ability to manage multiple priorities accurately.
  • Comfortable working with Salesforce, reporting tools, SharePoint, Power BI, and other business systems.
  • Tech-savvy with the ability to perform basic troubleshooting and support remote sales team members.
  • Strong communication and collaboration skills, with the ability to coordinate effectively across Sales, Marketing, management, and other departments.
  • Strong attention to detail and commitment to accurate documentation, reporting, and compliance.
  • Ability to work independently while remaining responsive to team and business needs.
  • Nevada Timeshare Sales License required or willingness to obtain.
  • Ability to work variable schedules based on business needs, including nights, weekends, and holidays when required.
  • Ability to sit or stand for extended periods and perform routine physical activities associated with office work and equipment handling, including lifting up to 15 pounds.
  • Ability to work from a designated remote location and travel to designated locations connected with the role when necessary.
