Job Description
Description:
We are seeking a dependable and detail-oriented HR & Payroll Assistant to support our day-to-day human resources and payroll operations. This position will assist with payroll processing, payroll liabilities, employee onboarding, record maintenance, and general HR administration.
Paylocity is our primary HRIS and payroll platform and serves as the company’s official system of record. The ideal candidate will be comfortable working with confidential employee information, reviewing payroll data, meeting deadlines, and providing professional support to employees and managers.
Key Responsibilities
Payroll Support
- Assist with processing accurate and timely payroll.
- Review employee hours, timecards, overtime, paid time off, bonuses, commissions, deductions, and other payroll changes.
- Verify payroll information and identify discrepancies before payroll is finalized.
- Assist with payroll reconciliations and payroll liability reviews.
- Monitor payroll tax liabilities, benefit deductions, garnishments, and other payroll-related payments.
- Research and help resolve payroll discrepancies.
- Maintain payroll records and supporting documentation.
- Respond to routine employee questions regarding pay, deductions, direct deposits, taxes, and timekeeping.
- Coordinate payroll corrections and updates as needed.
- Maintain confidentiality and follow internal payroll controls.
Onboarding and Employee Records
- Coordinate the onboarding process from offer acceptance through the employee’s first day.
- Prepare and send onboarding instructions and new-hire communications.
- Collect and review required documents, including Form I-9, Form W-4, direct deposit information, and company acknowledgments.
- Assist with E-Verify and background-check processes.
- Enter and maintain accurate employee information in Paylocity.
- Coordinate with managers and internal departments regarding equipment, system access, and new-hire readiness.
- Monitor outstanding onboarding tasks and follow up with employees and managers.
- Maintain complete and accurate electronic personnel files.
- Process employee changes, including compensation, job title, manager, department, location, and employment status updates.
HR Administration
- Assist employees with routine questions about benefits, PTO, company policies, and Paylocity.
- Support benefit enrollment and employee eligibility updates.
- Assist with employee terminations, final payroll information, benefit notifications, and offboarding documentation.
- Prepare employment letters, reports, spreadsheets, and other HR documents.
- Track required employee documents, acknowledgments, certifications, and training.
- Support HR compliance, audits, and recordkeeping requirements.
- Provide general administrative support to the Head of HR and People Compliance.
- Perform other HR and payroll-related duties as assigned.
Required Qualifications
- Associate of Arts (AA) degree in Human Resources, Business Administration, Accounting, or a related field.
- At least two years of experience in human resources, payroll, accounting, or administrative support.
- Experience assisting with payroll processing and reconciliations.
- Strong attention to detail, organizational skills, and ability to work accurately with numbers.
- Ability to meet payroll and onboarding deadlines.
- Ability to handle confidential information professionally.
- Proficiency in Microsoft Office, particularly Excel, Outlook, and Word.
- Strong written and verbal communication skills.
- Previous experience using Paylocity is a plus.
- Experience with employee onboarding, Form I-9, E-Verify, benefits administration, and employee records.
