The Redding Rancheria is seeking an Administrative Assistant II - Human Resources. The preferred schedule for this position is Monday - Thursday 7:00 AM - 6:00 PM.
The listed wage reflects the entry-level rate for this position. Compensation may be adjusted based on experience, education, and qualifications
JOB SUMMARY:
Under the direction of the Sr. Director of Human Resources, provides advanced administrative and scheduling support to the Sr. Director of Human Resources and for the Human Resources Department. Incumbent will independently coordinate calendars, meetings, deadlines, correspondence, confidential document distribution, prepares and edits materials for review, draft Human Resources communications, and properly files, maintains, and retrieves all personnel files.
REQUIREMENTS/MINIMUM QUALIFICATIONS:
- Must possess a valid California Driver’s License and have reliable transportation to and from work sites.
- 2 years minimum of progressively responsible administrative experience, preferably supporting a department leader and handling confidential personnel information.
- Computer skills and experience with a variety of word processing and spreadsheet software.
- Demonstrated ability to produce accurate correspondence and documents efficiently, and operate office equipment
- Must pass background screening.
- Must pass pre-employment drug screening.
- Indian preference.
ESSENTIAL JOB DUTIES:
- Provide direct administrative support to the Senior Director of Human Resources, including organizing priorities, tracking assignments and deadlines, preparing meeting materials and following up on routine action items as directed.
- Assist the Human Resources department in all manners of administrative support, including scheduling meetings, maintaining calendars, processing requisitions, communication to all staff, etc.
- Manage the Senior Director’s calendar; schedule and confirm meetings, resolve routine conflicts, arrange meeting logistics, and provide timely reminders and updates.
- Draft, edit, proofread, format, and distribute routine HR correspondence and communications, including communications regarding holiday closures, event announcements, policy updates, employee notices, job announcements, new hire memos, etc., subject to appropriate review and approval.
- Maintains all employee records in both physical and digital files, as well as electronic maintenance (Docstar and ADP) of employment files, both active and terminated, and ensures filing systems are organized at all times.
- Keep record of all signed Human Resources contracts, both digital and physical.
- Process HR related contracts through the established contract process.
- Serves as relief to the Tribal Receptionist performing all duties and responsibilities assigned to that position.
- Responsible for reviewing, responding, and maintaining the Human Resources email. Monitor assigned requests and the Sr. Directors administrative follow-up, respond within the delegated authority, and route sensitive or substantiative matters to the appropriate HR staff member.
- Assist in coordinating events and helping during department events.
- Sort, screen, and distribute incoming and outgoing mail related to the Human Resources Department.
- Coordinate confidential distribution of HR materials as directed, including verifying recipient lists, documenting distribution and receipt, safeguarding undistributed items, and promptly escalating discrepancies.
- Assist HR Manager with all aspects of annual performance evaluations. This includes evaluation tracking, preparing and distributing materials, monitoring receipt and completion, sending reminders, organizing finalized documents, and obtaining applicable signatures.
- Processes Employee Recognitions.
- Oversees Employee of the Month nominations, awards, and coordination of notification.
- Facilitates New Employee Breakfasts.
- Prepare and edit presentations, agendas, reports, spreadsheets, correspondence, and project materials for the Sr. Director; compile information, check accuracy and formatting, and track assigned project milestones.
- Maintain a high level of confidentiality at all times.
- Sort and distribute logoed apparel to all staff.
- Respond to HR inquires and direct complex issues to the appropriate HR staff member.
- Edit and format draft job descriptions and policy documents as directed, including incorporating approved revisions, checking consistency and version control, routing drafts for review, and distributing approved versions.
- Responsible for prompt personnel file retrieval per direction of Sr. Director of HR and HR Manager.
