This role is centered on coordinating scheduling operations that connect clients with interpreters in a fast-paced, service-driven environment. You will act as a key communication point between customers and vendors, ensuring interpretation requests are handled accurately, efficiently, and with a strong customer-first mindset. The position involves managing scheduling workflows, responding to client inquiries, and maintaining organized records within internal systems. You will play an important role in ensuring seamless service delivery across multiple requests while supporting operational continuity. Accountabilities:
  • Manage incoming phone calls and emails, triaging client needs and coordinating scheduling for routine and non-complex interpretation requests.
  • Maintain and organize the scheduling inbox, ensuring timely and accurate responses to service requests.
  • Conduct intake of interpretation service requests and match them with appropriate interpreter qualifications and availability.
  • Update and maintain scheduling systems to ensure all appointments and job statuses are accurate and up to date.
  • Escalate complex issues appropriately while supporting first-level problem resolution where possible.
  • Provide coverage for other coordinators during breaks, absences, and peak workload periods.
  • Participate in training sessions, meetings, and ongoing process improvement initiatives.
Requirements:
  • High school diploma or equivalent required.
  • Minimum of 6+ months of experience in scheduling, coordination, or customer-facing administrative roles.
  • Strong verbal and written communication skills with a service-oriented mindset.
  • Proven ability to maintain professionalism and a positive attitude in client and vendor interactions.
  • Proficiency in Microsoft Word and familiarity with Google Docs; experience with Mac operating systems preferred.
  • Strong organizational skills with the ability to manage multiple requests simultaneously.
  • Ability to work independently in a distributed or decentralized work environment.
  • Strong problem-solving skills with good judgment in prioritization and decision-making.
  • High level of integrity, reliability, and attention to detail.
  • Fluency in English required.
  • Experience in healthcare or language services scheduling is a plus.
