Overview
The Executive Assistant serves as a key partner and strategic coordinator to the Vice President of Communications & Community Engagement, providing high-level administrative, operational, and project support—while playing an essential role in advancing department-wide and One Getty strategic communications priorities. In addition to ensuring the seamless functioning of the VP’s office, this position helps drive cross-departmental planning processes; strengthens alignment across communications workstreams; and supports the development, tracking, and execution of strategic communications initiatives. The role requires strong organizational acumen, excellent judgment, a strategic mindset, and the ability to anticipate needs and streamline workflows in a fastpaced, missiondriven environment.
Responsibilities
- Manages the VP’s daily schedule, including complex calendaring, meeting preparation, and travel planning, ensuring time is aligned with strategic priorities.
- Serves as the first point of contact for inquiries to the VP's office, representing the department with professionalism, discreion, and clarity.
- Responds to calls, emails, and information requests with an understanding of the VP’s priorities and institutional context.
- Prepares correspondence, presentations, and briefing materials for the VP's internal and external engagements.
- Supports departmentwide strategic communications planning by coordinating meetings, timelines, project tracking, and cross-team alignment across the Communications & Community Engagement portfolio.
- Helps organize, structure, and follow up on strategic planning workflows—ensuring milestones, responsibilities, and deliverables are clearly documented and advanced.
- Provides logistical support for department events, projectbased working sessions, and key communications touchpoints, ensuring materials, agendas, and prep work are aligned with strategic objectives.
- Performs additional duties as needed to support the VP and the department’s strategic priorities.
Qualifications
- High school diploma/GED; Bachelor's degree
- Minimum 4-6 years related experience
