The Program Coordinator provides essential support to the Program Management team and participates in occasional customer-facing activities. Key responsibilities include reviewing and entering purchase orders, assisting with quotations, and performing a range of data entry and verification tasks. The role supports customer engagement through scheduled meetings, technical discussions, performance reviews, and Bid & Proposal efforts.

This position contributes to all phases of program execution—from initiation through completion—by helping maintain schedules, coordinating with cross-functional teams, and ensuring deadlines are met. The Program Coordinator also assists with proposals, program reviews, and financial planning, supporting overall customer satisfaction, profitability, and risk management. This role requires strong attention to detail, effective multitasking, and clear, timely communication.

Key Responsibilities:

  • Enter sales orders and contribute to the Contract Review process.
  • Support SIOP inputs and ensure backlog accuracy.
  • Manage customer web-based portal updates (e.g., Exostar) for deliveries, purchase order changes, and performance ratings.
  • Facilitate review and resolution of customer excess and aging inventory.
  • Support the review and submission of customer Technical Data Packages and related materials for quoting, assembly setup, order release, and change management.
  • Assist with purchase order close-out activities.
  • Participate in production status meetings as needed.
  • Provide timely updates and respond to customer inquiries via email, phone, and scheduled meetings.
  • Collaborate with cross-functional teams to maintain program schedules and support customer satisfaction, profitability, and risk management.
  • Must be U.S. persons within the definition of ITAR, with the ability to obtain and maintain a U.S. DoD Security Clearance. ITAR defines a U.S. person as a U.S. Citizen, U.S. Permanent Resident (i.e. 'Green Card Holder'), Political Asylee, or Refugee.

Preferred Qualifications:

  • Bachelor’s degree or an Associate degree in progress, preferably in Business or Engineering.
  • 2+ years in an electronics manufacturing or contract manufacturing environment.
  • Experience with ERP or program management systems
  • Experience supporting program, project, or operations teams.
  • Exposure to ISO 9001, AS9100, or ISO 13485 standards.

Required Qualifications:

  • High school diploma or equivalent.
  • Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
  • Excellent verbal and written communication skills, with the ability to interact effectively with customers and cross-functional teams.
  • High level of accuracy and attention to detail in data entry, documentation, and follow-through.
  • High energy and desire to work in a fast-paced environment.
  • Ability to analyze information, identify issues, and support resolution of schedule, delivery, or data discrepancies.
  • Comfort working in customer portals and web-based systems (e.g., Exostar or similar platforms).
  • Proactive, solution-oriented mindset with strong problem-solving capabilities.
  • Ability to work independently while also contributing effectively in a team environment.
  • Strong time-management skills and the ability to meet deadlines consistently.

Physical Requirements:

  • Ability to perform fine motor tasks and operate office equipment.
  • Ability to read small print, screens, and distinguish color differences.
  • Ability to bend, reach, kneel, squat, stand, and walk as needed.
  • Occasional lifting of 25–35 lbs.

Compensation: This is a non-exempt position. Compensation is based on work experience in quality, education, and prior work experience in electronics manufacturing.
