We are seeking a detail-oriented and client-focused Estate Planning Legal Assistant to support attorneys within our Estate Planning, Tax, and Trust Administration practice areas. This role is ideal for someone who enjoys building relationships with clients, managing multiple priorities, and helping ensure a seamless client experience from initial engagement through document execution and case completion.
What you will do:
• Provide administrative and legal support to Estate Planning, Tax, and Trust Administration attorneys.
• Prepare, proofread, format, and finalize estate planning documents including wills, trusts, powers of attorney, advance directives, and related correspondence.
• Coordinate estate planning signings and ensure all documents are properly executed and distributed.
• Manage attorney calendars, scheduling client meetings, signings, deadlines, and follow-up appointments.
• Serve as a primary point of contact for clients, providing exceptional customer service and timely communication.
• Organize, maintain, and update electronic and physical client files.
• Assist with probate and trust administration matters by preparing correspondence, gathering information, and coordinating filings as directed.
• Track client requests, attorney assignments, and outstanding tasks to ensure timely completion.
• Prepare engagement letters, conflict checks, and new client onboarding documentation.
• Coordinate incoming and outgoing mail, document deliveries, and record requests.
• Assist attorneys during client meetings by preparing materials, gathering documentation, and ensuring files are complete.
• Maintain confidentiality and professionalism while handling sensitive personal and financial information.
• Support department initiatives and process improvements to increase efficiency and enhance the client experience.
Requirements:What you bring:
Qualifications
• 2+ years of legal assistant, administrative assistant, or related professional experience preferred.
• Estate Planning, Probate, Trust Administration, or Tax Law experience strongly preferred.
• Exceptional organizational skills with the ability to prioritize multiple projects and deadlines.
• Strong written and verbal communication skills.
• High attention to detail and accuracy.
• Proficiency in Microsoft Office Suite and legal case management systems.
• Ability to work independently while collaborating effectively within a team environment.
• Professional demeanor and commitment to providing outstanding client service.
Work Environment
This position requires regular in-office presence to support client meetings and document signings. Estate planning is a highly client-facing practice area, and many client signings are conducted in person. Flexibility to be present in the office for scheduled signings, meetings, and client needs is essential to success in this role.
