Job Description
PTL ONE is seeking a highly organized, detail-oriented Administrative Assistant to support our growing organization. Reporting directly to the Chief Financial Officer (CFO), this position serves as a critical link between finance, operations, compliance, vendor management, and administrative functions.

Key ResponsibilitiesProvide administrative support to executive leadership, including the CFO and other department leaders.
Assist with accounts payable processes, invoice management, vendor communications, and payment tracking.
Support accounting and finance functions through data entry, record maintenance, and financial documentation.
Maintain business records, contracts, compliance documentation, and company files.
Coordinate with accounts receivable, credit, warehouse, and operations teams to ensure smooth business processes.
Manage vendor relationships and respond to vendor inquiries in a professional and timely manner.
Assist with compliance administration and documentation requirements.
Prepare reports, spreadsheets, correspondence, and business documents using Microsoft Office applications.
Maintain accurate records within SAP Business One and other business systems.
Support process improvements and administrative efficiencies across departments.
Prioritize multiple projects and deadlines while maintaining a high level of accuracy and professionalism.
Perform general office administration and operational support duties as assigned.
Minimum 5 years of experience in administrative support, office administration, executive assistance, or business operations support.
Strong organizational and time-management skills with the ability to manage multiple priorities.
Excellent verbal and written communication skills.
Demonstrated attention to detail and commitment to accuracy.
Proficiency in Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint.
Strong problem-solving skills and ability to work independently.
Ability to collaborate effectively within a team environment.
Professional demeanor and strong customer service mindset.
Bachelor's Degree in Business Administration, Accounting, Finance, or related field.
Experience supporting finance, accounting, or operations departments.
Working knowledge of SAP Business One or other ERP systems.
Experience with accounts payable, vendor management, compliance administration, or accounting support functions.
