Administrative Assistant | Finance SupportAbout PTL ONE

PTL ONE is seeking a highly organized, detail-oriented Administrative Assistant to support our growing organization. Reporting directly to the Chief Financial Officer (CFO), this position serves as a critical link between finance, operations, compliance, vendor management, and administrative functions.

This role is ideal for a motivated professional who enjoys variety, thrives in a fast-paced business environment, and wants the opportunity to contribute across multiple departments while developing their career within a growing company.

Key Responsibilities
  • Provide administrative support to executive leadership, including the CFO and other department leaders.

  • Assist with accounts payable processes, invoice management, vendor communications, and payment tracking.

  • Support accounting and finance functions through data entry, record maintenance, and financial documentation.

  • Maintain business records, contracts, compliance documentation, and company files.

  • Coordinate with accounts receivable, credit, warehouse, and operations teams to ensure smooth business processes.

  • Manage vendor relationships and respond to vendor inquiries in a professional and timely manner.

  • Assist with compliance administration and documentation requirements.

  • Prepare reports, spreadsheets, correspondence, and business documents using Microsoft Office applications.

  • Maintain accurate records within SAP Business One and other business systems.

  • Support process improvements and administrative efficiencies across departments.

  • Prioritize multiple projects and deadlines while maintaining a high level of accuracy and professionalism.

  • Perform general office administration and operational support duties as assigned.

Qualifications
  • Minimum 5 years of experience in administrative support, office administration, executive assistance, or business operations support.

  • Strong organizational and time-management skills with the ability to manage multiple priorities.

  • Excellent verbal and written communication skills.

  • Demonstrated attention to detail and commitment to accuracy.

  • Proficiency in Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint.

  • Strong problem-solving skills and ability to work independently.

  • Ability to collaborate effectively within a team environment.

  • Professional demeanor and strong customer service mindset.

Preferred Qualifications
  • Bachelor's Degree in Business Administration, Accounting, Finance, or related field.

  • Experience supporting finance, accounting, or operations departments.

  • Working knowledge of SAP Business One or other ERP systems.

  • Experience with accounts payable, vendor management, compliance administration, or accounting support functions.
