Position Overview

Sepro America is seeking a dependable, customer-focused Parts Support Coordinator to support our Parts team and customers. This position manages incoming parts inquiries, prepares customer quotations, maintains accurate records, and coordinates information so requests continue moving.

Position Details

Location: Warrendale, Pennsylvania (onsite)

Schedule: Monday through Friday, 8:00 a.m. to 5:00 p.m.

Reports to: Drew Prochaska, Supply Chain Manager

Employment status: Full-time, hourly, nonexempt

Key Responsibilities

Respond to customer parts inquiries by phone and email and direct each request to the appropriate Parts team member.

Answer general incoming calls and transfer Service-related calls to the Service team without diagnosing, troubleshooting, or managing the service request.

Prepare and send accurate parts quotations and maintain customer, quotation, and inquiry information in the company's ERP and internal systems.

Coordinate with the Parts team and other internal departments to keep customer requests and quotations moving.

Participate in the paid on-call rotation, generally once per month, to respond to evening and weekend parts inquiries.

Provide logistical assistance for customer training sessions, including follow-up communication after training.

Maintain Parts work instructions and procedure documentation and complete additional Parts support tasks and projects as assigned.

Required Qualifications

Previous experience in a professional office, customer service, order-entry, parts, or sales-support position.

Professional and confident customer service, verbal communication, and written communication skills.

Strong attention to detail, organization, follow-through, and the ability to manage competing priorities.

Ability to gather missing information, use sound judgment, and route customer needs appropriately.

Proficiency in Microsoft Office, particularly Excel, and the ability to learn new software tools.

Experience preparing customer quotations and performing accurate data entry; familiarity with ERP systems is strongly preferred.

Comfort learning product, parts, and basic robotics terminology; technical service experience is not required.

Compensation & Benefits

$23.50-$28.00 per hour, based on experience and qualifications, plus a paid stipend for the Parts on-call rotation.
