Position Summary
SmithLife Homecare is seeking a highly organized, customer-focused professional to serve as the Receptionist / Administrative Assistant while also providing emergency direct client care coverage for on-campus clients when operational needs require.
This unique dual-role position serves as the welcoming face of SmithLife Homecare, managing front office operations, administrative support, caregiver communications, and client inquiries while ensuring exceptional customer service. During unexpected staffing shortages, the individual will temporarily transition into a Care Partner role, providing non-skilled personal care services to existing clients residing on the Charles E. Smith Life Communities campus.
The ideal candidate enjoys both administrative work and direct interaction with older adults, is flexible, dependable, and committed to providing exceptional customer service and compassionate care.
Position Type
- Full-Time
- Primarily Monday–Friday business hours
- Occasional early morning, evening, or weekend emergency coverage as operational needs require
Essential Responsibilities
Administrative Responsibilities (Primary)
- Serve as the first point of contact for visitors, clients, families, and caregivers.
- Answer multi-line phone system and route calls appropriately.
- Monitor office communications and respond professionally.
- Support client intake and referral processes.
- Assist leadership with reports, data entry, document preparation, and filing.
- Monitor caregiver clock-ins, task completion, and operational communications.
- Maintain office supplies and front office organization.
- Support scheduling, coordination, and special projects.
- Assist with WelcomeHome, WellSky, Microsoft Office, and other agency systems.
Emergency Campus Care Partner Responsibilities (Secondary)
When staffing emergencies occur, provide direct care for existing SmithLife Homecare clients on the CESLC campus by:
- Assisting with bathing, dressing, grooming, toileting, and hygiene
- Providing mobility assistance and safe transfers
- Meal preparation and feeding assistance
- Medication reminders (within agency policy)
- Safety supervision
- Companionship
- Observation and reporting of changes in condition
- Documentation according to agency standards
- Supporting continuity of care until replacement staff arrives
Emergency care assignments are temporary and assigned only as operational needs require.
Minimum Qualifications
Required
- High school diploma or GED
- Active Maryland CNA and/or GNA certification
- Current CPR certification
- Valid driver's license (preferred)
- Minimum two years of administrative/customer service experience
- Minimum one year of direct caregiving experience
- Excellent customer service skills
- Professional communication skills
- Strong organizational skills
- Ability to multitask in a fast-paced healthcare environment
- Ability to maintain confidentiality
Preferred
- Previous home care experience
- Experience working with older adults
- Experience using electronic medical records
- Experience with scheduling software
- Knowledge of WellSky or similar software
- Microsoft Office proficiency
Physical Requirements
- Frequently sit, stand, walk, bend, reach, and lift.
- Lift up to 50 pounds.
- Push and pull wheelchairs and mobility equipment.
- Assist clients with transfers.
