What You’ll Do

As a Surgery/Procedure Scheduler, you will reports to the Practice Manager. Completes all processes related to the scheduling of surgical procedures including pre-operative testing, office visits and post-operative care. Greets patients, answers calls and performs other office tasks as needed. Ensures that world class service is provided at all times.

Surgery/Procedure Scheduler Job Responsibilities:

  • Coordinate and schedule surgical procedures, diagnostic testing, and related appointments in accordance with physician orders, clinical protocols, and patient needs.
  • Manage pre-operative and post-operative scheduling processes, including patient education, medication instructions, testing requirements, and follow-up care coordination.
  • Track and obtain required medical clearances, laboratory results, diagnostic testing, and provider approvals to ensure surgical readiness.
  • Coordinate insurance authorizations, pre-certifications, and medical necessity requirements while maintaining compliance with payer guidelines.
  • Organize and prepare surgical documentation, records, surgery packets, and physician orders to ensure accurate and timely case preparation.
  • Coordinate imaging studies, import and manage imaging records in PACS, and facilitate image sharing with external facilities as needed.
  • Arrange surgical equipment, implants, specialty supplies, and vendor support to meet procedural requirements.
  • Serve as a liaison between patients, providers, hospitals, vendors, and ancillary departments to support seamless surgical care coordination.
  • Provide administrative support including patient intake, medical record maintenance, referral coordination, prescription refill processing, and phone communication.
  • Assist with disability, FMLA, work-status documentation, and other patient-related forms and paperwork.
  • Obtain and communicate pathology and diagnostic results to providers in a timely manner.
  • Mentor and support team members by providing guidance, training, and operational assistance.
  • Maintain strong relationships with physicians, hospitals, vendors, and community partners to promote effective collaboration and quality service.
  • Support quality improvement initiatives, departmental goals, and exceptional customer service standards.
  • Maintain compliance with organizational policies, regulatory requirements, mandatory education, and professional competency expectations.

What You Bring

As a Surgery/Procedure Scheduler, this position requires knowledge of registration and pre-registration processes, medical terminology, CPT and ICD coding, and medical necessity requirements for diagnostic and procedural services. The ideal candidate possesses strong computer, keyboarding, and data management skills, with the ability to navigate multiple systems efficiently. Excellent verbal communication and customer service skills are essential for assisting patients, collaborating with physician offices, and coordinating with various departments. The role also requires strong interpersonal, organizational, and problem-solving abilities, attention to detail, effective telephone and listening skills, sensitivity to diverse patient populations, and strict adherence to HIPAA and patient confidentiality standards.

Required Qualifications

  • The knowledge, skills and abilities as indicated below are acquired through the successful completion of a high school diploma or equivalent is preferred.
  • Must be a minimum of 17 years of age.
  • Previous experience in a healthcare/clinical environment, admitting department, physician office practice or scheduling office is preferred.
  • Familiarity with health record coding and various insurance plans is preferred.
  • Knowledge of medical terminology is required, or a course must be successfully completed during the first year of employment.
