As a Project Manager for Convention Event Services, you will oversee end-to-end event coordination, ensuring operational excellence, effective resource management, and successful delivery of client requirements. You will manage logistics, vendors, schedules, and reporting while maintaining strong relationships with customers and stakeholders.
- Serve as the primary point of contact for convention scheduling, event setup, and special event coordination.
- Oversee personnel, equipment, supplies, and operational resources required for successful event execution.
- Manage vendor relationships, coordinate deliveries, track shipments, and ensure timely completion of services.
- Review and coordinate event schedules with customers while managing booking timelines and requirements.
- Reserve booth spaces, coordinate event logistics, and resolve booth-related issues with staff and clients.
- Complete required event forms, reservations, and logistical documentation to ensure services are confirmed in advance.
- Maintain accurate event calendars, including warehouse shipping schedules and return deadlines.
- Collaborate with graphic designers to ensure event materials and displays are updated and ready.
- Track giveaway shipments and communicate updates to relevant teams.
- Review subcontractor and event invoices, ensure accuracy, and coordinate timely submission to accounting teams.
- Provide monthly status reports outlining completed services, labor and material costs, operational updates, risks, and issues.
- Support effective communication between customers, vendors, internal teams, and government representatives.
The ideal candidate is an experienced project manager with a strong background in convention services, event operations, and stakeholder coordination. You should have excellent organizational abilities, strong communication skills, and the capacity to manage multiple priorities while maintaining service quality.
- Minimum 5 years of experience overseeing convention support services, preferably within a military or government environment.
- Minimum 2 years of experience working with vendors providing displays, lighting, furniture, transportation, and related event services.
- Understanding of convention operations, event setup processes, and logistical requirements.
- Experience coordinating with remote teams to manage billing support, shipping, receiving, and special service requests.
- Strong project management skills, including schedule tracking, cost control, risk management, and problem-solving.
- Customer-focused mindset with strong reliability, responsiveness, and attention to detail.
- Excellent written and verbal communication skills with the ability to collaborate across multiple stakeholder groups.
- Ability to manage vendors, contractors, and internal resources effectively.
- Experience supporting Air Force event management or similar government event programs is preferred.
- Competitive annual salary range of $50,000 to $65,000, based on qualifications and experience.
