Ideal Steel is seeking an organized and customer-focused Component Administrator to coordinate component sales orders at our Broussard location. This role serves as the central point of contact for component orders from acceptance through final customer pickup, ensuring required approvals, deposits, documentation, system entries, and customer communications are completed accurately and on time.
The Component Administrator will help keep component projects moving by coordinating with sales, production, purchasing, logistics, accounting, and customers while maintaining accurate records, processing payments, and following established workflow procedures.
Key Responsibilities
- Answer incoming company phone calls, direct inquiries appropriately, and serve as a primary point of contact for component customers.
- Review new component orders for completeness, accuracy, written authorization, required approvals, and deposit requirements before release to production.
- Enter new jobs into company systems and maintain complete and accurate project information, files, and production documentation.
- Process revisions, change orders, returns, buyout documentation, and order updates according to established procedures.
- Maintain the Component Tracking Spreadsheet and track orders from receipt through production completion and customer pickup.
- Document customer communications, follow-up activities, scheduled pickup dates, project notes, and order-status updates.
- Collect and process cash, check, and credit-card payments and accurately calculate deposits, balances due, and applicable fees.
- Balance the daily cash drawer, complete deposit reconciliations, and provide accurate payment documentation to accounting.
- Route production paperwork and communicate order priorities, revisions, customer commitments, and status updates across departments.
- Monitor order progress and proactively communicate with customers regarding readiness, payments, documentation, and pickup schedules.
- Assist with production reporting, time reports, department logs, operational tracking, and other assigned administrative duties.
Maintain regular and predictable attendance, safeguard company funds and confidential information, and support continuous process improvement.
- Job Requirements
- High school diploma or equivalent required.
- Two or more years of administrative, customer service, accounting support, production coordination, or related experience preferred.
- Working proficiency with Microsoft Office, particularly Excel and Outlook.
- Experience with cash handling, payment processing, accounts receivable, or daily reconciliation preferred.
- Strong data-entry accuracy, organization, attention to detail, and follow-through.
- Effective written and verbal communication skills with a professional and customer-focused approach.
- Ability to prioritize multiple assignments and deadlines in a fast-paced manufacturing environment.
- Ability to maintain confidentiality, safeguard funds, and follow established approval and documentation procedures.
- Manufacturing, construction, production, or industrial office experience preferred.
Work Environment and Physical Requirements
The majority of work is performed in an office environment, with periodic work in company facilities and the manufacturing plant. The position regularly uses a computer, phone, and standard office equipment and requires sitting, standing, walking, bending, reaching, speaking, hearing, seeing, and using hands to perform job duties.
