Service Coordinator

This role serves as the primary point of contact for clients, ensuring timely resolution of inquiries and issues related to customs brokerage and global trade services. You will act as a key liaison between clients and internal teams, addressing both routine and complex service requests while ensuring accurate and compliant outcomes. The position requires strong problem-solving skills to identify root causes and support long-term issue resolution rather than short-term fixes. You will also play an important role in maintaining and strengthening client relationships by monitoring satisfaction and identifying opportunities for service improvement or growth. Working in a fast-paced, detail-oriented environment, you will handle trade compliance topics, documentation questions, billing issues, and operational exceptions. This is a highly collaborative role where customer focus, regulatory knowledge, and communication skills directly contribute to client success.

Accountabilities

This role is responsible for managing client inquiries, resolving service issues, and ensuring high levels of client satisfaction while supporting trade compliance and operational accuracy.

  • Serve as the primary point of contact for client inquiries, ensuring timely and effective resolution of both general and complex issues.
  • Investigate and resolve root causes of client issues to prevent recurrence and improve service quality.
  • Manage client relationships by monitoring satisfaction, identifying risks, and highlighting opportunities for improvement or growth.
  • Respond to inquiries related to import documentation, permits, classifications, billing, invoicing, and customs release information.
  • Handle complex trade-related issues including HS classification errors, duty and tax questions, and customs compliance matters.
  • Process credits, rebills, refunds, and amendments in accordance with established guidelines.
  • Escalate unresolved issues appropriately and collaborate with internal teams to ensure client satisfaction.
  • Conduct trade compliance verification and support audit-related activities as required.
  • Maintain accurate documentation of all client interactions in internal systems.
  • Support continuous improvement by identifying process inefficiencies and recommending solutions.
Requirements

This role requires strong client service experience, customs brokerage knowledge, and the ability to manage complex operational and regulatory inquiries in a fast-paced environment.

  • 2+ years of experience in client service, customs brokerage, logistics, or related operational support roles.
  • Knowledge of customs regulations, procedures, and Harmonized Tariff Schedule (HTS) classifications.
  • Experience handling import/export documentation, billing, and trade compliance processes.
  • Strong problem-solving, analytical, and decision-making skills.
  • Excellent verbal and written communication skills with the ability to interact professionally with clients and internal teams.
  • Strong organizational skills with the ability to prioritize and manage multiple tasks.
  • Proficiency in Windows-based systems and standard business applications.
  • Ability to work independently while contributing effectively in a team environment.
  • Customer-first mindset with strong attention to detail and accountability.
  • High school diploma required; associate degree or equivalent post-secondary education preferred.
