Job Description
The Front Receptionist is responsible for answering inquiries and providing information to the public, customers, visitors, and other interested parties regarding activities conducted at our establishment and location of departments, offices, and employees within the organization. This position should always act in the best interest of the company and the customer, applying sound ethics and a service-minded orientation with all visitors.
Duties and Responsibilities:
- Serve as first point of contact to professionally answer, screen, or forward calls, providing information, taking messages, or scheduling appointments
- Greet persons entering establishment, determine nature and purpose of visit, and direct or escort them to specific destinations
- Perform administrative support tasks, such as proofreading, transcribing handwritten information, operating calculators or specific systems on computer to work with records, invoices, balance sheets, or other documents
- Collect, sort, distribute, or prepare mail, messages, and courier deliveries
- Transmit information or documents to vendors or customers, using computer, mail, or facsimile machine
- Scan and Log Documents into DocuClass daily
- Perform other related duties as required
Requirements
- High school diploma or equivalent preferred but not required
- 1-2 years of relevant administrative experience
- Bilingual ability required
Experience Requirements:
- Minimum of one (1) year experience in administration/customer support/service (window & door industry or related field preferred)
- Minimum of one (1) year experience in window & door manufacturing or related field preferred but not necessary
Special Skills Required:
- Unfailing customer orientation, verbal fluency, and precise written communication
- Provide attention to customers for full understanding and approach to be able to send them to the right person to help them
- Ability to communicate and write to others to convey information effectively and professionally via email or phone
- Teamwork and collaboration within all levels of management and staff
- A high regard for ethics, and strong organizational awareness
- Proficient in MS Office (Excel, Outlook)
Physical Demands:
- Regularly required to sit and talk/hear/communicate/listen/respond
- The employee is occasionally required to stand; walk and use hands to handle, or feel
- The employee must occasionally lift and/or move up to 25 pounds
