Pre-employment Coordinator

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Pre-employment Coordinator based in United States.

This role provides essential coordination support throughout the candidate onboarding and pre-employment process. As a Pre-Employment Coordinator, you will help deliver a smooth and professional experience for candidates while ensuring accuracy, compliance, and timely completion of required employment steps. You will collaborate with Talent Acquisition, Human Resources, Security, and operational teams to manage workflows, documentation, and system updates. This position is ideal for someone who enjoys organization, problem-solving, and providing excellent customer service in a fast-paced environment. You will play an important role in maintaining efficient hiring processes while handling sensitive information with care and confidentiality. The role offers the opportunity to build expertise in recruiting operations, HR coordination, and enterprise-level processes within a remote work environment.

Accountabilities:

The Pre-Employment Coordinator supports end-to-end pre-employment activities by coordinating candidate requirements, maintaining accurate records, and ensuring compliance with internal processes and regulatory standards. This role requires strong organization, attention to detail, and the ability to manage multiple priorities while providing a positive candidate experience.

  • Process candidate pre-employment activities, including background checks, drug screenings, security clearance coordination, new hire notifications, and required documentation.
  • Maintain accurate candidate records and track progress across applicant tracking and security-related systems.
  • Collaborate with Talent Acquisition, Human Resources, Security, and operational teams to ensure all onboarding requirements are completed efficiently.
  • Manage a high volume of candidate and new hire activities while meeting established service-level expectations.
  • Follow defined workflows, policies, procedures, and compliance requirements to ensure consistent processing.
  • Document actions, updates, and outcomes across multiple systems with accuracy and attention to detail.
  • Support candidate communication by providing clear updates, guidance, and timely responses throughout the process.
  • Handle confidential candidate and employment information appropriately and securely.
  • Assist with Talent Acquisition and security-related projects as needed.
  • Identify process improvements and proactively resolve issues to enhance operational effectiveness.
Requirements:

The ideal candidate is a detail-oriented and customer-focused professional who can manage administrative processes, communicate effectively, and work independently in a remote environment. Strong organizational skills, adaptability, and the ability to manage confidential information are essential for success in this role.

  • 0–1+ years of experience in recruiting coordination, HR support, customer service, administrative operations, or a related field.
  • High school diploma or equivalent required; bachelor’s degree preferred.
  • Prior experience working with applicant tracking systems or HR platforms preferred.
  • Must be a U.S. Citizen.
  • Strong customer service mindset with a helpful, patient, transparent, and professional approach.
  • Excellent attention to detail with the ability to manage multiple priorities simultaneously.
  • Strong written and verbal communication skills in English.
  • Ability to follow structured processes while exercising sound judgment and problem-solving skills.
  • Comfortable handling confidential and sensitive information.
  • Proficiency with Microsoft Office tools, including Outlook, Excel, and Teams; SharePoint experience is a plus.
  • Ability to work independently, stay organized, and maintain productivity with minimal supervision.
  • Strong collaboration skills and ability to build trust-based relationships with internal teams.
