Summary:
Vighter LLC is recruiting for an Operations Assistant to act as the administrative representative for Vighter Operations at our corporate office, located at 10010 San Pedro Avenue, Suite 850, San Antonio, TX 78216.
The Operations Assistant will assist in carrying out directives set forth by the Project Manager and/or Director of Operations as they pertain to the assigned project(s) including providing administrative support to the project. The Operations Assistant will attend meetings and conference calls as necessary, identify weaknesses in capabilities, and must maintain a high level of professionalism.
Vighter is a Service-Disabled Veteran Owned Small Business (SDVOSB) which provides professional healthcare staffing services to Federal, State, and Local government clients. Principle Accountabilities:
- Plans and prepares for and participates in operations-based meetings and conference calls.
- Assist in administrative duties as directed by Project Manager or Director of Operations.
- Maintain exceptional rapport with employees; provide resources for employees and maintain a high level of morale and open communications.
- Collaboratively establishes criteria, formulates approaches, and evaluates efforts with the Director of Operations and the Project Manager.
- Will notify the Project Manager of any event caused by a Vighter employee that can pose a liability or concern to the company.
- Will have access to the PM Datasheet in Google Drive for tracking operations data.
- Work collaboratively with the Project Manager and project team to maximize productivity contributing to the entire project lifecycle.
- Organize and monitor operations schedules and see that deadlines are met.
- Report updates verbally and in written form to management.
- Complete any necessary administrative tasks including but not limited to research, analysis, tracking, and reporting.
- Detail-oriented, pays careful attention to details.
- Demonstrate commitment to clients’ needs and confidentiality.
- Use personal computer workstations to input data accurately.
- A deep sense of purpose and dedication to the United States and our U.S. Military Veterans, their Families, and other patients as assigned.

- Knowledge of regulations (HIPAA/Privacy Act) regarding the confidentiality of patient medical records and information as well as Personally Identifiable Information (PII).
- Performs other duties that may be assigned from time to time.
Knowledge and Skills:
- Must have exceptional customer service skills.
- Employees shall be technically proficient in the skills necessary to fulfill the job requirements, including ability to speak, understand, read and write English fluently.
- Ability to work in a fast-paced changing environment with limited supervision
- Excellent organizational, scheduling and prioritization skills.
Education:
- High school diploma or equivalent is required; bachelor’s degree preferred.
- College education in business or administrative field preferred but not required.
Qualifications
- Must have exceptional customer service skills and be proficient in English and Spanish.
- High degree of computer/smart phone skills; Microsoft Office, SharePoint/One Drive and Email.
- Ability to rapidly respond to email, telephone, and text messages as needed.

Duty Hours / On-call Requirements:
- Generally speaking, this is a day shift position with some work, mission dependent, at night and on weekends..

Travel:
- As required to satisfy the contractual obligations. Commuting is non-compensatory. All official travel is government funded.

Physical Requirements:
- Must be able to sit for more than 8 hours per day.
- Must be able to use an elevator or walk up & down stairs.
- Must be able to lift up to 40 lbs. and carry up to 10 feet.
- Must be able to routinely grasp or handle objects, use finger dexterity, bend elbows/knees and reach above and below shoulders.
- Must be able to read and interpret handwritten and typewritten print.
- Must be able to communicate by voice and detect sound by ear.
- Must be able to perform duties in an indoor office or outdoor environment.
- Must be able to pass a criminal background investigation.
- Must undergo Urine Drug Screening (UDS).
- Must be a Citizen of the United States or legally authorized to work in the United States of America.
