About This Position

Position Summary

Provide administrative assistance to Department Director and Manager with day-to-day office operations, departmental projects and events.

Essential Functions and Responsibilities Include the Following

  • Understands and adheres to the WPH Performance Standards, Policies and Behaviors..
  • Provide administrative assistance to Department Director and Manager with day-to-day office operations and departmental projects.
  • Assist with recruiting, interviewing, placement and orientation of volunteers.
  • Provide support/assistance to programs & staffing areas overseen by Volunteer Services.
  • Provide assistance to volunteers as needed.
  • Assist with adherence and implementation of all regulatory and quality measures (e.g., Joint Commission,
    background checks, WPH policies).
  • Maintain volunteer records and information on Volgistics computer software system- including- annual medical clearance, flu vaccine and other requirements.
  • Answer phone and greet people.
  • Coordinate volunteer assistance for special projects/requests.
  • Keep inventory of supplies for volunteer office and complementary programs- including departmental forms.
  • Performs all other related duties as assigned.
  • Education & Experience Requirements

  • College Degree preferred- in Social Services, Human Resources, Business or Psychology in addition to office experience; hospital/healthcare and volunteer experience a plus.
  • Must have proficient computer skills in Microsoft Word, Outlook, Excel and aptitude for learning new software systems (e.g., MediTech, Epic). Publishing & PowerPoint knowledge a plus.
  • Mandatory in-service training as needed.

  • Physical/Mental Demands/Requirements & Work Environment

    • May be exposed to chemicals necessary to perform required tasks. Any hazardous chemicals the employee may be exposed to are listed in the hospital’s SDS (Safety Data Sheet) data base and may be accessed through the hospital’s Intranet site (Employee Tools/SDS Access). A copy of the SDS data base can also be found at the hospital switchboard, saved on a disc.

    • Must be able to move throughout the Hospital.
    • Must practice patience, tact and caring nature.
    • Ability to manage multiple tasks and prioritize.
    • Must be able to remain in stationary position for long periods of time.
    • Move boxes of supplies and position self to store supplies in cabinets.
