About This Position

POSITION SUMMARY Reporting directly to the Vice President, Talent & Culture/Chief Engagement Officer, the Administrative Assistant (AA) is a full-time position which provides administrative /secretarial support for the Vice President, Talent & Culture/Chief Engagement Officer and the various areas of responsibility including but not limited to Human Resources, Pastoral Care, Guest Services and Employee Health & Wellness. The AA completes challenging and complex tasks that require tact and independent judgment in a wide variety of areas. The AA provides assistance with communications, preparations for meetings, VP calendar management, participating in committees and taking, transcribing and distributing meeting minutes, as assigned. The AA is expected to handle a wide range of project management related tasks and be able to work independently with little or no supervision.

EDUCATION, CREDENTIALS, TRAINING and EXPERIENCE:
Minimum Required:
Requires a minimum of three years administrative assistant or executive secretarial experience

ADDITIONAL SPECIALIZED KNOWLEDGE/SKILLS:
  • Typing: 60 words/minute with accuracy required
  • Microsoft Word skills required
  • Microsoft Excel and PowerPoint required
  • Other computer skills: data entry, database, desktop publishing, Board Effect
  • Excellent oral/written communication skills. Ability to compose, edit and produce written materials accurately and effectively. Required editing skills including spelling, punctuation, grammar, format and structure
  • Excellent customer service skills, public relations and diplomacy skills, teamwork and teambuilding skills
  • Demonstrated ability to work in a fast paced, executive-level environment employing effective organizational skills, time management skills and appropriate prioritization abilities
  • Demonstrated ability to effectively interact with staff, physicians, trustees, patients and visitors using a professional, courteous manner
  • Interfaces with high-level , internal and external contacts requiring considerable discretion and initiative
  • Self-motivated and able to work independently on highly complex tasks and appropriately exercise independent judgment.
