About This Position

About Telo LabsTelo Labs is a next-gen aesthetics clinic for people who are serious about long-term skincare and looking well without looking done. Founded by a Harvard MBA and a renowned plastic surgeon, we fuse clinical excellence with concierge-level service to treat everything from early aging to acne scars, melasma, and facial balancing. Think injectables, lasers, and regenerative medicine in a thoughtfully designed, gender-neutral space that’s all about skin longevity, not fleeting trends.
We’re still young (we opened our flagship location in late 2024), but growing fast. That means everyone on our lean team plays a real role in shaping the brand and experience — including you.
About the RoleOur Patient Care Coordinator is the quarterback of the studio — ensuring that every patient interaction, from booking to follow-up, feels seamless, smart, and human. This isn’t just front desk. It’s part sales, part concierge, and part operations lead. You’ll guide patients through our offerings, manage scheduling and clinic flow, and be a trusted voice in helping people understand what treatments make sense for their skin.
This role is perfect for someone who’s obsessed with the intersection of aesthetics, hospitality, and sales — and who thrives in a start-up environment where your ideas can (and will) shape the way we do things.
Key ResponsibilitiesPatient Experience & Sales
  • Be the first and last face patients see — and make them feel seen
  • Educate patients on treatments and skincare products in a non-pushy, empowering way
  • Follow up with leads, book appointments, and help convert new inquiries into loyal clients
  • Proactively retain existing clients through outreach
  • Handle check-in/check-out, consent forms, and post-care communication with polish and warmth
Studio Operations
  • Manage daily clinic flow so providers can focus on treatments
  • Own the patient schedule and coordinate across providers and rooms to optimize efficiency
  • Maintain cleanliness, stock levels, and a high-end aesthetic throughout the space
  • Support inventory, EMR records, and other operational needs
Marketing & Outreach
  • Help coordinate in-studio events, brand activations, and community partnerships
  • Engage with patients through social media in a way that aligns with our brand voice

Who You Are
  • 2+ years of experience in a luxury-facing role (aesthetics, plastic surgery, dermatology, wellness, high-end hospitality)
  • Polished, proactive, and emotionally intelligent — you know how to read a room
  • Strong communicator with excellent writing and phone skills
  • Tech-savvy with comfort in scheduling systems, EMRs, and inventory tools
  • Passionate about aesthetics and skincare — bonus points if you’re a licensed aesthetician
  • Detail-oriented, organized, and calm under pressure
What We Offer
  • Competitive hourly pay targeting $25/hour plus monthly incentive bonuses. Telo may pay more or less than the target based on factors including relevant experience and qualifications (i.e. licensed aesthetician).
  • Health insurance & dental benefits + paid holidays
  • Friends & Family discounts on services and products
  • A beautiful, serene work environment in Greenwich Village
  • A chance to shape the DNA of a growing brand and grow with the business
