About This Position
The Distribution Services Coordinator is responsible for managing day-to-day scheduling, transportation compliance, customer portal activity, and 3PL coordination to ensure smooth and cost-effective distribution operations. This role bridges the gap between warehouse operations, transportation partners, and customer requirements — freeing leadership to focus on strategy and ensuring compliance with carrier, customer, and internal standards.
Scheduling & Coordination
• Establish and manage an inbound/outbound appointment scheduling process for carriers, suppliers, and customers.
• Act as the designated back-up for the DC Shipping Logistics Lead and 3PL Scheduler/Planner to ensure seamless coverage during absences or vacations.
• Coordinate daily flow of materials and finished goods between Company owned and Third-Party facilities.
• Oversee receipt of all inbound finished goods from Co-Packer Sites.
Transportation & Carrier Compliance• Ensure all carrier procurement decisions align with lowest-cost carrier compliance standards.
• Support transportation utilization through 3PL Broker or designated providers, minimizing use of non-compliant local moves.
• Manage and monitor pallet programs to reduce cost leakage and improve accountability.
• Track and report on transportation KPIs, including compliance rates, utilization, detention, and accessorial.
Customer Portal Management• Serve as the primary coordinator for customer portals, ensuring accurate and timely entry of orders, shipments, and schedules:
- SAP & Ariba – outbound shipment scheduling.
- Transplace – entering/scheduling outbound shipments.
- Other customer platforms via email or 3rd-party systems.
• Maintain data integrity and ensure compliance with customer routing instructions.
• Act as liaison between customers and internal teams for portal-related questions and exceptions.
Operational Support• Partner with supervisors and warehouse staff to proactively manage workflow, staging, and material flow.
• Support cross-functional alignment between procurement, planning, scheduling, and logistics.
• Document and standardize workflows for repeatable and scalable operations.
Qualifications
• 3–5 years of experience in warehouse, logistics, or distribution coordination.
• Strong working knowledge of TMS/WMS systems and customer ERP portals (SAP, Ariba, Transplace).
• Familiarity with pallet management programs (Chep or equivalent).
• Proven ability to manage multiple priorities under time-sensitive conditions.
• Strong attention to detail, organizational, and communication skills.
• Proficiency with Microsoft Office (Excel, Outlook, Teams, PowerPoint).
