Position Summary:

Henderson State University seeks a detail-oriented, service-driven, and highly organized professional to serve as Advancement Administrative Analyst within the Office of Advancement. This team member will support the day-to-day operations of the Advancement Office through administrative coordination, budget and financial support, scholarship administration, event logistics, and constituent engagement.

The Advancement Administrative Analyst will play a critical role in supporting the operational effectiveness of the Advancement Team while helping deliver exceptional service to alumni, donors, students, faculty, staff, and friends of Henderson State University. This position requires strong organizational skills, attention to detail, professionalism, and the ability to manage multiple priorities in a collaborative and fast-paced environment.

As an essential member of the Advancement Team, this role contributes to the university's efforts to strengthen alumni engagement, philanthropic support, scholarship stewardship, and operational excellence.

Duties & Responsibilities:

Administrative Operations & Office Support (35%)
  • Serve as a primary point of contact for visitors to Captain Henderson House by greeting guests, answering phones, responding to inquiries, and making appropriate referrals.
  • Perform a wide range of administrative support functions including drafting, editing, revising, and maintaining correspondence, reports, records, and files.
  • Maintain accurate and organized records related to scholarships, grants, alumni engagement, and Foundation Board and committee meetings.
  • Coordinate calendars, meetings, agendas, and logistical arrangements for Advancement-related meetings and activities.
  • Maintain confidentiality and provide exceptional customer service through professional and responsive engagement with alumni, donors, students, faculty, staff, and friends of the university.

Event & Engagement Support (20%)
  • Assist the Advancement Team with the planning and execution of alumni, donor, and university events.
  • Coordinate event logistics including scheduling, reservations, hospitality, contracts, staffing, supplies, and facility arrangements.
  • Support event communications, attendee management, and post-event follow-up activities.
  • Assist with occasional evening or weekend events as needed.

Scholarship & Stewardship Support (20%)
  • Assist with the administration of Foundation scholarship processes and procedures.
  • Maintain scholarship records and documentation within scholarship management systems.
  • Coordinate scholarship recipient and donor communications and assist with annual scholarship awarding processes.
  • Support stewardship initiatives through accurate record keeping and donor acknowledgement processes.

Financial & Budget Administration (15%)
  • Assist with departmental bookkeeping and budget management processes.
  • Monitor purchases, expenditures, reconciliations, and financial tracking for Advancement-related budgets and activities.
  • Support budget development and reporting processes as requested.
  • Assist with purchasing, inventory management, requisitions, and maintenance coordination.

Data Management & Technology Support (10%)
  • Maintain accurate records and constituent information in systems such as Blackbaud, Encompass, and Banner.
  • Assist with data entry, reporting, and record management to support Advancement initiatives and operational efficiency.
  • Learn and utilize emerging technologies and systems that support advancement operations and engagement efforts.


Knowledge/Skills/Abilities:

• Strong organizational, administrative, and customer service skills.
• Proficiency in Microsoft Office Suite.
• Ability to manage multiple projects and prioritize responsibilities effectively.
• Strong written, verbal, and interpersonal communication skills.
• Ability to exercise discretion and maintain confidentiality.
• Ability to work independently and collaboratively within a team environment.
• Regular and reliable attendance.

General Days/Hours:

Monday - Friday
8:00 a.m. - 5:00 p.m.
Additional hours, including occasional evenings and weekends, may be required based on university and Advancement events and activities.

Please note, this position will not start until Fall of 2026.

Minimum Qualifications:

• An earned High school diploma or equivalent.

Preferred:

• Associate's degree or two (2) years of related work experience.
• Experience in higher education, nonprofit, customer service, or administrative support environments.
• Familiarity with constituent relationship management systems such as Blackbaud, Encompass, or Banner.
• Experience supporting events, budgets, or scholarship administration.
