JOB SUMMARY:
The Spare Parts and Logistics Coordinator supports the After Sales and Service team by managing spare parts procurement, logistics coordination, inventory tracking, and documentation. This role works closely with procurement, vendors, and internal service teams to ensure spare parts are priced, ordered, tracked, and delivered efficiently to support operational needs.
The coordinator will also maintain surplus inventory listings for resale, assist with contract administration activities, and support both parcel and baggage handling system spare parts inquiries. This is a dynamic role and requires strong organization, communication, and logistics coordination skills.
ESSENTIAL FUNCTIONS:
Spare Parts Procurement and Order Management
- Work with procurement and vendors to obtain pricing for spare parts requests
- Prepare and issue purchase orders for approved spare parts
- Track orders from placement through delivery and resolve any order related issues
- Maintain accurate documentation for all spare parts transactions
- Coordinate delivery schedules and communicate order status to internal teams
Inventory and Asset Management
- Maintain records of spare parts inventory and ensure accurate tracking
- Manage listings of surplus or resale spare parts on online platforms such as eBay
- Track sales and maintain documentation for resale items
- Ensure inventory records are accurate and properly documented
Logistics and Receiving
- Coordinate shipping, receiving, and delivery of spare parts and equipment
- Support receiving and put away of parts into client or internal CMMS systems when required
- Perform onsite receiving and inventory documentation when necessary
- Coordinate with vendors, warehouses, and logistics providers to ensure timely delivery
Contract and Administrative Support
- Support contract management activities related to spare parts and service agreements
- Maintain organized documentation related to spare parts, logistics, and vendor transactions
- Assist the After Sales and Service team with administrative and operational support needs
Customer and Technical Support Coordination
- Support spare parts inquiries related to parcel and baggage handling systems
- Coordinate with service teams to identify required parts and ensure timely procurement
- Communicate with customers and internal stakeholders regarding order status and logistics updates
WORK ENVIRONMENT:
- Primarily based in an office setting
- Collaborative, engaging and success driven culture
- Occasional travel to customer sites or warehouses required to support receiving and inventory activities.

- Lifting up to 50 lbs
- Ability to perform onsite receiving and inventory tasks
- Standing and walking for prolonged periods at warehouses or customer sites
REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:
- Proficiency in Microsoft 365, including Excel, Word, and Outlook
- Previous experience in spare parts coordination and management
- Ability to communicate and support the procurement and purchasing team
- Logistics and supply chain coordination
- Vendor relationship management
- Ability to communicate technical order information to customers and service teams
- Attention to detail and accurate documentation experience
- Experience working with customers and vendors
- Inventory tracking and documentation
EDUCATION, EXPERIENCE AND QUALIFICATIONS:
- High School Diploma or equivalent (GED) is required.
- 2 to 5 years of experience in spare parts coordination, logistics, procurement support, or inventory management
- Experience working with vendors, purchase orders, and logistics coordination
- Familiarity with CMMS, ERP, or inventory management systems preferred
- Experience with online resale platforms such as eBay is a plus
