About the role
The Billing Coordinator supports hub operations by reviewing and validating billing related to sorting labor and last-mile delivery services. This role is responsible for reconciling operational data, verifying vendor invoices, and ensuring billing aligns with contractual rate structures.
The position also manages claims related to delivery issues such as missing or invalid Proof of Delivery (POD), mis-deliveries, or damaged shipments. The Billing Coordinator collaborates closely with operations teams, Delivery Service Partners (DSPs), and the finance department to maintain accurate billing records in a fast-paced logistics environment.
Key Responsibilities
Sorting Billing & Labor Reconciliation
- Review and validate sorting labor invoices submitted by staffing agencies
- Audit sorting timesheets and scan-based billing records for accuracy
- Reconcile operational activity with vendor invoices
- Identify discrepancies and coordinate with operations teams or vendors to resolve issues
DSP Billing & Invoice Validation
- Review and validate invoices submitted by Delivery Service Partners (DSPs) for last-mile delivery services
- Ensure billing aligns with contractual rate structures such as per-stop or delivery-based pricing
- Verify delivery stops, routes, and operational records to confirm invoice accuracy
- Identify billing discrepancies and work with DSP partners to resolve them
Operational Reconciliation
- Reconcile operational data (scans, delivery stops, route activity) with vendor invoices
- Maintain documentation and audit trails supporting operational billing
- Ensure operational records align with financial data used for billing and reporting
Claims Management
- Review and process claims related to delivery issues including:
- Missing or invalid Proof of Delivery (POD)
- Mis-deliveries
- Damaged shipments
- Other delivery service failures
- Coordinate with DSP partners and operations teams to investigate issues
- Submit and track claims against DSP partners when contractual obligations are not met
- Maintain documentation for claims, resolutions, and billing adjustments
Reporting & Documentation
- Maintain organized billing records and documentation for operational expenses
- Assist with preparation of billing summaries and operational reports
- Ensure billing records and supporting documentation remain accurate and up to date
Cross-Functional Collaboration
- Work closely with hub managers and operations teams to ensure billing reflects operational activity
- Coordinate with DSP partners, staffing agencies, finance teams, and operations teams to resolve billing discrepancies
- Support communication between operations, vendors, and finance regarding billing and claims
Qualifications
- 1–3 years of experience in billing, logistics operations support, or administrative roles
- Strong Excel skills and ability to analyze operational data
- High attention to detail with strong reconciliation and organizational skills
- Ability to work in a fast-paced logistics or warehouse environment
- Strong communication and coordination skills when working with operations teams and vendor partners
Preferred Experience
- Experience in logistics, transportation, warehouse, or last-mile delivery environments
- Familiarity with vendor billing, labor tracking, delivery billing, or claims processing
- Bilingual in English and Chinese is a plus
