About This Position

The Excelsior Office Support Staff is responsible for secretarial duties and other related office management assignments. This position is essential to the operation and climate of the school. In most cases, initial contact with students, families, and the community occurs through the school office staff before meeting any other school personnel.

This list of Essential Duties and Responsibilities is not exhaustive and may be supplemented as needed.

  • Ensure timely submission of reports, records, letters, and other materials.

  • Compile regular and special reports.

  • Provide information to the public, teachers, students, and other employees regarding school activities, established policies, rules, and regulations.

  • Prepare online absence reports and timesheets for instructional support staff and substitute personnel (Principal must review and approve).

  • May be responsible for requisitioning, ordering, and receiving school supplies and equipment.

  • Conform to prescribed safety standards.

  • Maintain a clean and tidy front office, demonstrating a focus on students and families.

  • Provide appropriate, regular, predictable, and high-value School Messenger calls to the whole school or designated subgroups, as appropriate.

Skills

  • Good knowledge of bookkeeping procedures and principles.

  • Knowledge of Excelsior Schools and Sponsoring School District policies, regulations, and procedures, and the ability to explain and apply them.

  • Knowledge of secretarial procedures and practices.

  • Ability to plan, organize work, and set priorities.

  • Ability to interpret written and oral instructions, as well as written regulations.

  • Ability to take independent action when required and handle unique problems.

  • Ability to maintain confidentiality of information.

  • Ability to promote positive public relations and interact tactfully and diplomatically with others.

  • Ability to work independently without immediate supervision and perform effectively under pressure.

  • Ability to manage multiple tasks and assignments simultaneously.

  • Ability to work flexible hours.

  • Ability to recognize and report hazards and apply safe work methods.

  • Possess physical and mental stamina commensurate with the responsibilities of the position.

  • Knowledge of modern technology, including computer operation and relevant software programs.

  • Perform other duties as assigned.
