The Club Sports Coordinator supports the delivery of Villanova’s Club Sports program across all campuses by coordinating daily operations, student leadership, volunteer coaches, and game‑day logistics. Villanova’s program includes 30+ competitive club teams, supported by 90+ student officers and 10+ volunteer coaches, and engages over 1,000 student participants annually. Reporting to the Director of Fitness & Recreation – Programming and Structured Sports, this role ensures that club sport activities are organized, safe, compliant, and well supported while fostering student leadership, engagement, and community.

Duties and Responsibilities:
Club Sports Operations & Risk Management
• Coordinate the day-to-day operations of Villanova’s Club Sports program, including scheduling competitions, reserving facilities, processing equipment orders, coordinating travel, and supporting fundraising activities.
• Ensure club activities comply with safety standards, travel policies, competition rules, recruiting and marketing guidelines, and University policies.
• Serve as the primary operational liaison between Club Sport Officers and the Director of Fitness & Recreation – Programming and Structured Sports.
• Coordinate home contest management and game-day operations.
• Work closely with the Intramural Sports Coordinator on shared facility scheduling. • Maintain club sport equipment inventories and participation records.
• Maintain club sport equipment inventories and participation records.
• Support the development, implementation, and enforcement of club sport policies and procedures.
• Report facility and custodial needs to appropriate personnel.

Student & Volunteer Leadership Coordination
• Serve as the primary operational liaison to Club Sport Officers.
• Organize regular meetings with club leaders and coordinate leadership development workshops.
• Coordinate volunteer coach onboarding and required background clearances.
• Support training for officers, volunteers, and student staff related to safety, emergency response, and department expectations.
• Provide day-to-day supervision and support for student game-day operations assistants.

Equipment, Budget & Resource Stewardship
• Support club sport budgeting, purchasing, fundraising, and financial tracking in coordination with department leadership.
• Assist clubs with facility reservations, travel arrangements, and equipment orders. • Maintain inventory of club sport equipment.
• Maintain inventory of club sport equipment.
• Support fiscally responsible club sport operations by monitoring transactions and supporting budget tracking.

Campus & Departmental Support
• Assist with fitness and recreation facility operations, intramural sports, and Dixon Center rentals and camps as needed.
• Participate in department-wide initiatives and professional development activities.
Minimum Qualifications:
Formal Education
• Bachelor’s Degree required, preferably in Recreation Management, Sports Management, or a related field.
• First Aid, CPR, and AED certification (must be obtained within a specified period after hire).

Work Experience
• 0–2 years of experience in organized sports, athletics, campus recreation, or a related student-centered environment.
• Relevant student employment, internships, or graduate assistantships may count toward experience.
• Experience working in a customer-facing or student leadership environment.

Work Skills (e.g., written and verbal communication skills)
• Strong organizational, communication, and interpersonal skills.
• Ability to coordinate schedules, priorities, and logistics across multiple teams and activities.
• Ability to work collaboratively with students, volunteers, and campus partners.
• Ability to learn recreation management and scheduling systems

Specific Job Knowledge
• Familiarity with organized sports programs and basic sport rules.
• Understanding of safety and risk management principles in recreational or competitive sports.
• Commitment to student development, wellness, and community engagement.

Equipment Knowledge
• Proficiency with standard computer applications (e.g., Microsoft Office, email, scheduling tools).

Other:
• Some evening, weekend, and early-morning hours are required based on program and event schedules.
Preferred Qualifications:
Formal Education
• Bachelor’s degree.

Work Experience
• 1–2 years of experience supporting club sports, intramurals, athletics, or campus recreation programs.
• Experience mentoring, training, or supervising student leaders or employees.
• Experience coordinating events, travel, or competitive schedules.

Specific Job Knowledge (e.g., knowledge of principles and procedures related to field and area)
• Knowledge of collegiate club sports operations, policies, and best practices.
• Familiarity with travel policies, risk management, and game-day operations.
• Understanding of student leadership development in a recreation or athletics setting.
• Familiarity with collegiate recreation standards such as NIRSA.
• Familiarity with recreation management software (e.g., DSE, Fusion, Sub It Up).
• Familiarity with basic sporting equipment, scoreboards, and field or court setups.
Physical Requirements and/or Unusual Work Hours:
Tools, machinery and equipment used:
• Sporting and recreation equipment such as goals, nets, scoreboards, timing systems, and game-day supplies.

Environmental conditions: (any unusual/adverse conditions such as exposure to chemicals, noise, illumination, air quality, weather exposure etc.).
  • Work is performed in indoor and outdoor athletic and recreation facilities, including fields, courts, gyms, and event spaces.
  • May include exposure to noise, weather conditions, lighting variations, and large crowds during competitions and events.

Physical requirements: (items such as lifting, pushing, pulling, standing or sitting for extended periods of time, manual dexterity, walking etc.)
  • Requires the ability to walk, stand, lift up to approximately 45 pounds, and move equipment throughout recreation facilities, perform game-day and facility checks, and use standard office and event-related equipment.

Salary Posting Information:
This position falls within salaried grade 12 and the range for this position is $47,500-56,900. The final salary will be determined with consideration of several factors including the selected candidate’s qualifications, department budget availability, market data, and internal equity.
