HealthCare Scheduler

Job Title: Scheduling Coordinator Department: Care Management Employment Type: Full-time Work Schedule: Monday to Friday, 9:00 AM – 6:00 PM
About the Role IMPORTANT • Healthcare background mandatory: Prior experience in healthcare admin, familiarity with HIPAA and medical terminology required for seamless onboarding • High-volume phone work: Comfortable with all-day phone communication with patients, caregivers, and providers • Pressure management: Ability to deliver bad news professionally, handle emergency staffing situations, and maintain composure under stress
A leader in home health is seeking a dedicated and compassionate Scheduling Coordinator to join the Care Manager team. This position plays a critical role in delivering a higher level of care by ensuring strong compatibility between clients and caregivers while maintaining exceptional customer and employee satisfaction. The Scheduling Coordinator will manage home care scheduling and services, resolve staffing and service issues, and oversee operational staffing processes. The ideal candidate demonstrates strong customer service skills, excellent attention to detail, and the ability to juggle multiple scheduling priorities in a fast paced healthcare environment. Prior experience in healthcare administration is highly preferred.
Key Responsibilities • Provide superior customer service and sales support to clients, families, caregivers, and referral partners • Communicate clearly, efficiently, and compassionately with clients, caregivers, physicians, and discharge nurses • Promote and protect the integrity and reputation of the company • Answer and manage all office phone communications • Coordinate ongoing client staffing for new and existing engagements • Manage staff absences to ensure all client cases are fully staffed • Conduct new client intake processes • Perform case management activities as required • Arbitrate employment-related issues affecting field staff and clients • Complete administrative tasks including filing, organizing, and office coordination
Skills & Competencies • Strong attention to detail • Excellent written and verbal communication skills (spelling, grammar, punctuation) • Professional phone presence with warmth and empathy • Ability to prepare routine reports and correspondence per company guidelines • Highly motivated self starter with the ability to work autonomously • Strong organizational and problem-solving skills • Ability to manage complex scheduling demands and multiple priorities
Education & Experience • College degree preferred • Prior experience in a medical or healthcare environment • Knowledge of medical terminology • Strong customer service orientation • Excellent computer skills with the ability to learn new systems quickly
