PURPOSE: This position is responsible for providing forward-thinking, high-level administrative support to the Organizing Hub playing a key role in advancing Union priorities and ensuring seamless office operations.
Reporting to the Deputy Director of Organizing Operations, the Program Assistant is responsible for a broad range of operational, administrative and financial functions in the Organizing Hub. They will assist with all aspects of the day-to-day operations and ensure staff adhere to SEIU policies and procedures. The role requires strong judgment, confidentiality, and professionalism, while proactively managing tasks that facilitate key programs and projects. Building positive and productive relationships is essential to effectively supporting leadership and driving organizational goals.

- Partner with the Deputy Director on envisioning and operationalizing internal systems to support the work of the Organizing Hub.
- Lead on logistical support for key meetings and events for the Organizing Hub.
- Provide logistical support to campaigns for events, actions and mobilizations including but not limited to outreach to vendors, securing venues and processing materials.
- Serve as back-up scheduler for the Organizing Hub Director, managing highly sensitive matters and communications with discretion, ensuring that all confidential information is handled with the utmost care.
- Support Organizing Hub leadership team with travel/expenses, meeting arrangements, calendar and other basic administrative functions.
- Collaborate on critical leadership-level projects, assisting with coordination, tracking progress, and driving completion of executive priorities.
- Document Organizing Hub’s operational procedures, protocols, and systems with a focus on optimizing internal systems to maximize effectiveness and alignment to SEIU procedures and policies.
- Develop and maintain systems to track and store critical information related to the Organizing Hub.
- Support the tracking and processing of contributions from local unions to Organizing Hub campaigns.
- Review, synthesize and track campaign spending reports and identify areas to streamline and reduce expenses.
- Facilitate and track the processing of contracts, vendor payments and financial transactions with locals, vendors and partner organizations in a timely manner.
- Assist with booking guest travel for events and campaigns.
- Handle all meeting planning, travel logistics, itineraries, and expense reports with precision and adherence to budgetary guidelines and SEIU policies.
- Adhere to strict deadlines for completion of all assigned work.
- Perform other duties and special projects as assigned in support of the Organizing Hub.
Additional Responsibilities:
- Carry out other duties and special projects as assigned, with a focus on supporting the Union’s mission and advancing key programs.
- Work in collaboration with and as part of the Organizing Department Operations team.
CONTACTS: Regular contact with SEIU International and local staff, SEIU vendors and partner organizations. Frequent collaboration with Field campaign teams.
DIRECTION AND DECISION MAKING: This position reports to the Deputy Director of Organizing Operations of the Organizing Hub and frequently operates independently, requiring a high level of self-direction.
QUALIFICATIONS AND EXPERIENCE: A minimum of 3-4 years of related work experience or a combination of education and experience that provides the following knowledge, skills, and abilities:
- Outstanding writing, verbal, and analytical communication skills.
- Knowledge of labor unions and their operations.
- Proficiency in Microsoft Office and Google Suite programs.
- Strong judgment, initiative, and the ability to work independently.
- Ability to collaborate effectively with SEIU leaders, members, and staff in complex, politically sensitive situations.
- Capacity to exercise independent judgment within defined limits and consult with peers or managers as needed.
- Curiosity about SEIU and social/economic justice movements.
- Passion for improving the lives of SEIU members and working people everywhere.
- Consistent modeling of the union's vision, values, and leadership standards.
- Proven ability to manage multiple projects simultaneously and meet established deadlines under pressure.
- Advanced administrative skills, including calendar management, travel coordination, and document preparation.

PHYSICAL REQUIREMENTS: Work in this position will generally be performed in an office setting. However, the job may require work in other settings conducive to performing the tasks required to complete assignments. Must be available for travel, including overnight stays. Travel and work beyond traditional business hours is required.
