Repair Account Coordinator

Quest International Inc. is seeking a Repair Account Coordinator to support our Operations team and Service Repair Center in Irvine, CA.

This is not a finance, accounting, sales, or marketing role. This position supports OEM repair accounts, repair orders, shipment documentation, customer follow-up, customer portals, and administrative quality checks.

Location: Irvine, CA
Schedule: Monday–Friday, onsite
Employment Type: Full-time, temp-to-hire
Pay Range: $22–$25/hr
Classification: Salary non-exempt

Job Summary

The Repair Account Coordinator supports OEM and strategic customer repair activity from order receipt through shipment. This role handles customer correspondence, repair quotes, SOs/RAs, customer follow-up, shipment documentation, packing lists, shipping labels, air bills, tracking numbers, customer portal updates, pre-invoicing packets, and technical data entry.

This position requires strong accuracy, organization, communication, and follow-through in a deadline-driven Service Repair Center environment.

Essential Duties and Responsibilities
  1. Support OEM accounts and strategic customers with repair-related correspondence, quotes, SOs/RAs, and shipment activity.
  2. Follow up with customers on repair quotes, pending inquiries, shipment status, and order documentation.
  3. Prepare and organize pre-invoicing packets, packing lists, shipping labels, air bills, shipment records, and tracking numbers.
  4. Use FedEx Manager and customer portals to support incoming and outgoing shipment coordination.
  5. Maintain accurate customer records, repair/order activity, technical data entry, and account documentation.
  6. Support repair, shipment, and operational reports for management and customers.
  7. Track delivery deadlines, shipment deadlines, customer follow-ups, and operational priorities.
  8. Perform final administrative quality checks across repair activity, shipping paperwork, and customer/account records.
  9. Follow Quest’s ISO-certified policies and procedures.
Required Qualifications
  1. High school diploma or equivalent.
  2. 2+ years of customer service, repair depot, shipping/order support, administrative operations, or related experience.
  3. Experience with repair orders, service orders, return authorizations, customer follow-up, shipment documentation, packing lists, shipping labels, air bills, tracking numbers, or similar order/shipping documentation.
  4. Microsoft Excel and Word proficiency.
  5. Experience using FedEx Manager or a comparable shipping platform.
  6. Experience using customer portals, databases, ERP systems, CRM systems, ticketing systems, or repair/order management systems.
  7. Ability to type at least 40 WPM accurately.
  8. Strong communication, organization, prioritization, and attention to detail.
  9. Ability to work onsite in Irvine, CA, Monday through Friday.
Preferred Qualifications
  1. OEM or strategic account support experience.
  2. Service Repair Center, repair depot, RMA, logistics, shipping, or order-processing experience.
  3. SO/RA processing experience.
  4. Repair quote or service quote follow-up experience.
  5. Customer portal and shipment tracking experience.
  6. ISO-certified or procedure-driven environment experience.
Important Fit Note

This role is not accounting, accounts payable, finance analysis, sales, marketing, or general account management.

The strongest candidates will have hands-on experience with repair/order documentation, shipping paperwork, FedEx or shipping systems, customer portals, technical data entry, repair follow-up, and deadline-driven operational support.
