Construction Project Coordinator

Location: Phoenix, AZ (Office-Based)

What We're Looking For

We are seeking a highly organized and detail-oriented Construction Project Coordinator to support our project managers and field crews. This role plays a vital part in keeping commercial construction and retrofit projects on schedule by coordinating logistics, maintaining project documentation, communicating with vendors and subcontractors, and supporting daily project operations.

The ideal candidate has experience in construction, HVAC, or mechanical contracting and thrives in a fast-paced environment where managing multiple priorities and solving problems are part of the daily routine.

What You'll Do

  • Coordinate field crew schedules, equipment, vehicles, and project logistics to support multiple active construction projects.
  • Communicate with project managers, field personnel, subcontractors, vendors, and customers to coordinate schedules, project requirements, and timelines.
  • Coordinate material deliveries and help ensure equipment and jobsite resources are available when needed.
  • Manage permits, inspections, licensing, and compliance documentation across multiple jurisdictions.
  • Prepare and maintain project documentation, including purchase orders, change orders, subcontractor documentation, and project files.
  • Process and track purchase orders, invoices, and project-related expenses.
  • Maintain accurate project records, job files, schedules, and document control throughout the life of each project.
  • Assist with employee timekeeping, labor reporting, and payroll documentation.
  • Prepare Excel reports to support job costing, project budgets, labor tracking, and operational reporting.
  • Monitor project milestones and communicate schedule updates or potential delays to project managers and field teams.
  • Provide administrative support to project managers and construction operations as needed.

What You Bring

  • 2+ years of experience supporting construction, HVAC, mechanical contracting, or field service operations.
  • Experience coordinating multiple projects, schedules, or field personnel simultaneously.
  • Strong proficiency with Microsoft Office, particularly Excel, Outlook, and Word.
  • Excellent organizational, time management, and multitasking skills.
  • Strong written and verbal communication skills with the ability to work effectively across multiple departments.
  • High attention to detail and the ability to prioritize changing deadlines.
  • Experience with ERP, accounting, or payroll systems such as NetSuite, Paylocity, or similar platforms is preferred.
  • A proactive, team-oriented attitude with a commitment to providing exceptional internal and external customer service.

What We Offer

Pay: $24.00-$28.00 per hour (DOE) | Weekly Pay
