As a Sales Event & Group Rooms Coordinator, you'll be the bridge connecting guests and groups to highly personalized and unforgettable experiences.

Job Duties / Responsibilities

  • Enter/Audit all Group Booking Recaps into Maestro.
  • Setup Billing Notes/Routing.
  • Verify Inventory/Pre-Block Suites if Needed.
  • Set GDS/PMS Connect if Needed.
  • Build/Create all iHotelier Group Booking Links
  • Maintain online group booking inventory.
  • Create customized links for Sales Managers to send to clients.
  • Input All Rooming Lists for Groups.
  • Work with Group Rooms Manager on Rooming List Maintenance.
  • Modify/Cancel Reservations as needed.
  • Pre-Assign Rooms/Suites as needed.
  • Mark VIP’s.
  • Audit all Reservation Billing Notes/Routing.
  • Create/maintain Group Rosters to forward to GRM as needed.
  • Daily Email Maintenance.
  • Address any reservation requests/modifications as requested.
  • Back-up Hotel Reservations Inbox.
  • Maintain Outlook Filing system.
  • Daily/Weekly Monitoring of Group Room Block Inventory.
  • Run Maestro GRC Report.
  • Verify upcoming cut off dates and due in Rooming lists – working with the GRM.
  • Balance Inventory from Delphi to Maestro.
  • Weekly Group Resume Review.
  • Verify All VIPs are marked in Maestro.
  • Confirm all billing details in Group Masters.
  • Update Billing Methods as needed.
  • Verify Suites/Special Guest needs.
  • Assist GRM with Post-group billing questions/track history of changes.
  • Weekly Input of ALL Reservation information for Crew Rooms.
  • Balance/Monitor inventory for any contract Groups.
  • Perform other job-related duties as assigned.
Requirements:
  • Associate’s degree preferred.
  • Three to five years of experience in a related role is preferred.
  • Detail-oriented and professional.
  • Exceptional communication skills.
  • Extremely proficient with Microsoft Office Suite.
  • Able to learn, Maestro & StaynTouch PMS & Delphi systems.
  • Basic understanding of office equipment, clerical procedures and systems, such as recordkeeping and filing.
  • Ability to work independently and reliably.
  • Flexible and adaptable in various situations and when interacting with many different personalities.
  • Ability to organize and prioritize tasks including delegation of tasks when appropriate.
  • Knowledge of, or ability to quickly acquire, familiarity with the roles and functions of the assigned department, and any specifically applicable laws or guidelines.

Physical Requirements

  • Prolonged periods sitting and/or standing at a desk and working on a computer.
  • Must be able to lift 30 lbs. at times.
