WHO WE NEED
We are seeking a Budget Officer to support the financial administration and reporting needs of the Natural History department.

Reporting to the Chief Curator, Natural History, the Budget Officer is responsible for processing and monitoring financial transactions for grants, restricted accounts, research funding, payroll, procurement, and departmental operations. The successful candidate will play a key role in maintaining accurate financial records, preparing financial projections and reconciliations, and supporting effective budget management across multiple funding sources, grants, and stakeholders.

This role requires strong analytical skills, attention to detail, and the ability to work collaboratively with internal departments and external partners, including the University of Toronto.

The role supports a complex portfolio of operating, grant-funded, restricted, and research-related accounts within one of Canada's leading natural history research environments, providing an opportunity to contribute to world-class scientific research, collections stewardship, and public engagement.

HOW YOU WILL MAKE AN IMPACT
  • Manage the day-to-day financial administration of departmental operating budgets, grant accounts, restricted funds, research accounts, and externally funded projects.
  • Process financial transactions, including purchase orders, invoices, reimbursements, travel expenses, accounts payable/receivable, and petty cash claims
  • Reconcile monthly statements from ROM Finance and external partners, including the University of Toronto
  • Prepare budget projections, monitor expenditures, and support financial planning to ensure responsible use of departmental funds
  • Produce financial summaries, reports, and expenditure analyses to support monthly and annual reporting needs
  • Liaise with internal departments, suppliers, funding agencies, and external stakeholders to resolve financial and administrative issues
  • Process payroll-related documentation, timesheets, and stipends for students, interns, research fellows, and temporary employees

WHAT YOU BRING
  • Completion of a community college diploma in business administration, accounting, or a related field (3-year program), or an equivalent combination of education and experience
  • Minimum five (5) years of experience in financial administration, accounting, or budget coordination
  • Experience in processing financial transactions and maintaining departmental or project accounts
  • Advanced proficiency in Microsoft Excel, including financial tracking, reconciliations, reporting, budget analysis, and forecasting.
  • Experience working with university, research, grant-funded, or academic financial environments is considered an asset
  • Experience supporting procurement processes, purchase orders, invoice administration, and vendor payments
  • Experience working with multiple stakeholders to resolve financial, administrative, or operational issues.
  • Maintain detailed financial records, account balances, and monthly budget summaries across multiple funding sources
  • Strong mathematical, analytical, and problem-solving skills
  • Excellent organizational skills and strong attention to detail
  • Ability to manage multiple priorities while maintaining accuracy in a deadline-driven environment
  • Demonstrated discretion and ability to handle confidential financial information
  • Strong interpersonal and communication skills, with the ability to work collaboratively across departments and with external stakeholders
  • Ability to learn and adapt to new financial systems and software
  • Experience in a museum, academic, or research environment is an asset
Preferred Qualifications
  • Experience administering grant-funded budgets, restricted accounts, and externally funded research projects.
  • Experience preparing financial reconciliations and variance analyses
  • Experience supporting research, academic, museum, or public-sector environments

WHAT TO EXPECT IN OUR INTERVIEW PROCESS
  1. Initial conversation: A 30-minute virtual conversation** with a Recruiter to discuss your interest in the role and ROM and how you can make an impact.
  2. First interview: A 1-hour in-person or virtual interview with the Hiring Manager and a member of the HR team. This in-depth interview will focus on your skills and how they align with the team's and ROM's needs.
  3. Second interview: A 1-hour in-person meeting with the Hiring Manager and relevant team members. You may be asked to present a pre-assigned case study and discuss scenarios relevant to your role. Depending on the position, you might also be given a tour of ROM and receive a preview of your responsibilities and interactions.
  4. Third Interview: a final interview with key stakeholders.
