About the Role
CheckSammy is seeking a highly organized, customer-focused Facilities Coordinator to join our growing Facilities Management team. This position serves as the primary point of contact for clients while coordinating facility service requests from start to finish. The ideal candidate is experienced in client communication, vendor management, dispatching service providers, negotiating pricing, and ensuring every job is completed accurately, on time, and within budget.
This role requires someone who thrives in a fast-paced environment, can manage multiple priorities simultaneously, and is committed to delivering an exceptional customer experience.
Key Responsibilities
- Serve as the primary point of contact for assigned client accounts, building and maintaining strong customer relationships through proactive communication and exceptional service.
- Coordinate and dispatch service providers nationwide for facility maintenance, repairs, cleaning, waste services, and other client-requested work.
- Source, evaluate, and negotiate pricing, service agreements, and project costs with vendors to achieve the best value while maintaining quality standards.
- Monitor service schedules and ensure vendors meet contractual obligations, response times, and performance expectations.
- Audit completed work orders by reviewing invoices, photos, documentation, and service reports to verify work was completed accurately and according to client requirements.
- Resolve client concerns, service delays, and vendor issues quickly while maintaining high customer satisfaction.
- Collaborate with internal departments including Customer Success, Operations, Sales, and Accounting to ensure seamless project execution.
- Maintain accurate records of work orders, dispatches, client communications, vendor documentation, and project updates within company systems.
- Track job progress from initiation through completion, ensuring milestones, deadlines, and service level agreements (SLAs) are consistently met.
- Identify opportunities to improve operational efficiency, reduce costs, and strengthen vendor relationships.
- Assist with special projects, reporting, and other operational initiatives as assigned.
Qualifications
- 2+ years of experience in facilities management, dispatching, customer success, vendor management, project coordination, or a related field.
- Strong negotiation skills with the ability to obtain competitive pricing while maintaining quality service.
- Excellent verbal and written communication skills with a professional and customer-focused approach.
- Proven ability to manage multiple projects and prioritize competing deadlines.
- Strong problem-solving and decision-making skills in a fast-paced environment.
- High attention to detail with experience reviewing invoices, documentation, and completed work.
- Proficiency with Microsoft Office Suite and experience working in CRM or work order management systems.
- Ability to work independently while collaborating effectively within a team.
