This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Project Coordinator based in India.
This is a project coordination opportunity supporting client engagements and internal operations within a managed regulatory services environment.
You will act as a central point of contact, coordinating workflows, project resources, timelines, documentation, and customer requests.
The role combines project administration with customer support, sales assistance, billing coordination, and quality assurance activities.
You will work closely with project managers, customers, sales teams, finance, vendors, and technical or authoring teams to keep projects progressing smoothly.
Strong organization and attention to detail will be essential as you manage multiple contracts, deadlines, action items, and project records simultaneously.
The position also provides exposure to regulatory, scientific, chemical, health, safety, environmental, and product stewardship activities.
This is a fully remote India-based role requiring fluent English and French communication and an evening/night schedule aligned with North American business hours.
- Review contractual agreements to understand project scope and support Project Managers with budget and resource management.
- Process project resource bookings and maintain accurate project information and records.
- Track action items, issues, deadlines, and project progress across multiple engagements.
- Serve as a central coordination point for project teams and proactively manage departmental workflows.
- Ensure projects and deliverables are submitted accurately and within established deadlines.
- Maintain internal databases, project tracking systems, and complete customer information.
- Participate in internal operations meetings, prepare meeting minutes, and follow up on assigned action items.
- Process and monitor requests subcontracted to external vendors, including translation services.
- Follow up with internal and external customers, respond to inquiries, and provide order confirmations and acknowledgements.
- Process customer approvals and coordinate the delivery of final project documentation.
- Process customer requests and final deliveries through relevant chemical management portals where required.
- Prepare customer meetings and coordinate schedules, conference calls, and other project-related activities.
- Support the Customer Care team with client listings, surveys, and customer feedback.
- Approve new Sales Orders and assist with training team members on internal administrative processes.
- Support sales teams in preparing customer quotations and obtaining project estimates for non-standard services.
- Provide guidance on Sales Order processing and related administrative requirements.
- Participate in quality control activities before safety documents are delivered to customers.
- Update client procedures when required and verify that project documentation is accurately completed.
- Work with authoring teams and customers to identify and implement process improvements.
- Set up new projects in business applications according to contractual and internal requirements.
- Verify billing and revenue recognition rules and provide accurate information for invoicing.
- Investigate and respond to customer and internal inquiries related to invoices and billing.
- Perform additional operational or administrative activities as required by management or the Finance team.
Requirements:
- Degree in Science or equivalent professional experience.
- Degree in Administration, Accounting, Business, or a related field, or equivalent experience.
- Previous experience in project coordination or project management activities.
- Experience in accounting or administrative support, including the use of business software and systems.
- Experience supporting payment allocations, collections, invoice queries, or monthly financial reporting is valuable.
- Experience in Science, Chemistry, Health, Safety, Environment, or Toxicology is an asset.
- Experience in product stewardship or regulatory affairs is an advantage.
- Fluent written and spoken English and French is required.
- Strong organizational and time-management skills, with the ability to prioritize multiple contracts and meet strict deadlines.
- Self-motivated, reliable, proactive, and comfortable taking ownership of assigned responsibilities.
- Strong tolerance for pressure and a sense of urgency when managing critical deliverables.
- Ability to make informed, timely, and effective decisions.
- Excellent attention to detail and strong analytical and problem-solving capabilities.
- Strong verbal and written communication skills for working with both internal teams and customers.

- Comfortable working additional hours occasionally when required to meet critical project deadlines.
- Comfortable using web-based applications and multi-screen data systems.
- Proficiency with Microsoft Office, particularly Excel, Word, and Access.
- Good regulatory knowledge and troubleshooting skills are advantageous.
- Experience with Intelligent Authoring or SAP EH&S software for producing Safety Data Sheets is highly desirable.
- Fluency in additional languages is an asset.
- Willingness and ability to work the required evening/night shift from 17:30 to 02:30 IST, corresponding to 08:00 to 17:00 EDT.
