This role offers the opportunity to support global mobility by ensuring smooth, accurate, and compliant visa operations for international clients. You will manage visa-related processes while helping organizations move talent across borders efficiently. The position combines operational execution, regulatory research, client communication, and process improvement. You will monitor changes in global visa requirements and translate them into reliable, up-to-date processes. As international volumes grow, you will also contribute to building scalable workflows that can support new partnerships and enterprise launches. This is a fully remote opportunity for an experienced visa professional who enjoys working in an international, technology-driven environment.
As a Visa Operations Specialist, you will take ownership of day-to-day visa operations while helping strengthen processes for accuracy, scalability, and compliance. You will work with international clients and internal teams to ensure applications are handled efficiently and that visa requirements remain aligned with changing regulations.
- Ensure accurate and timely delivery of visa applications and related documentation.
- Review visa documentation carefully to identify and prevent errors, omissions, or inaccuracies.
- Research and monitor changes in global visa and immigration regulations.
- Keep visa processes, requirements, and operational guidance up to date based on regulatory developments.
- Support increasing visa volumes resulting from new partnerships and enterprise client launches.
- Coordinate visa-related activities to maintain efficient turnaround times and a high standard of service.
- Help design, document, and implement scalable visa processes that can support business growth.
- Identify operational bottlenecks and contribute to practical process improvements.
- Communicate clearly with clients through written correspondence and occasional phone interactions.
- Provide accurate information and guidance throughout the visa processing lifecycle.
- Collaborate with international and cross-functional teams to resolve visa-related questions and operational challenges.
- Maintain strong organizational standards across multiple visa cases and priorities.
- Contribute to a reliable, technology-enabled approach to global visa operations.
Requirements:
The ideal candidate brings hands-on experience in visa operations, business travel visas, immigration, or related legal and consular environments. You should combine strong regulatory awareness with exceptional attention to detail, organization, and communication skills, while being comfortable working independently in a technology-driven international setting.
- 3+ years of professional experience in at least one of the following areas: business travel visas, immigration law, consular or visa service center operations, or another legal/visa-related role.
- Experience with visa service centers such as VFS, TLS, or BLS is relevant.
- Strong proficiency in English, both written and spoken.
- German language skills are a plus.
- Strong Microsoft Office skills.
- Excellent written and verbal communication skills.
- Ability to communicate professionally with clients through email and occasional phone interactions.
- Exceptional attention to detail and a strong commitment to accuracy.
- Strong time-management and organizational skills.
- Ability to manage multiple visa cases and priorities efficiently.
- Good understanding of visa processing requirements and international mobility procedures.
- Ability to research and stay current with changing visa and immigration regulations.
