Role

The Facilities Manager is responsible for supporting the maintenance, repair coordination, functionality, and overall physical condition of approximately 5-8 Magnolia Bakery locations within the New York City market. This role serves as a key operational support partner to bakery management teams by helping ensure all locations remain safe, clean, functional, and aligned with brand standards.

The ideal candidate is organized, responsive, detail-oriented, and experienced in restaurant, retail, hospitality, or foodservice facilities coordination. This individual will manage facilities service requests, coordinate vendors, support repair projects, and help maintain efficient day-to-day bakery operations across multiple locations. The position requires daily/weekly travel to allow for store operations support.

Key Responsibilities

Facilities & Maintenance Coordination

  • Manage day-to-day facilities repair and maintenance requests through the ResQ platform.
  • Prioritize, dispatch, track, and follow up on maintenance tickets across assigned bakery locations.
  • Coordinate vendor scheduling and repair follow-up to ensure timely issue resolution.
  • Perform regular site visits to assess facility conditions and identify maintenance needs.
  • Support preventative maintenance scheduling for bakery equipment, HVAC systems, refrigeration, plumbing, and general facility upkeep.
  • Escalate major repair concerns or recurring maintenance issues to operations leadership as needed.

Vendor Coordination & Support

  • Coordinate service vendors, contractors, and maintenance providers across assigned locations.
  • Assist in ensuring vendors meet expectations related to timeliness, communication, and completion quality.
  • Review completed work orders and service documentation for accuracy.
  • Support invoice tracking and maintenance record organization.
  • Maintain strong working relationships with approved vendors and service providers.

Bakery Operations Support

  • Serve as a facilities support partner for bakery management teams.
  • Assist with troubleshooting and coordination of equipment service needs.
  • Support bakery teams during repair visits, maintenance work, and equipment servicing.
  • Communicate repair timelines, updates, and operational impacts to bakery leadership teams.
  • Assist with emergency maintenance coordination when necessary.

Project & Installation Support

  • Support facilities and construction teams during bakery repair projects, refresh initiatives, and equipment installations.
  • Coordinate project scheduling with bakery operations teams to minimize disruption to business.
  • Assist with vendor access, communication, and project follow-up during facilities work.
  • Support new bakery opening preparation and facilities readiness as needed.

Key Ingredients for Success

  • 1-3 years of facilities coordination, maintenance support, or restaurant/hospitality operations experience.
  • Experience coordinating vendors and managing service requests across multiple locations preferred.
  • Familiarity with commercial kitchen or bakery environments is a plus.
  • Experience using facilities management systems such as ResQ or similar platforms preferred.
  • Strong organizational, communication, and follow-up skills.
  • Ability to manage multiple priorities and respond effectively in a fast-paced environment.
  • Basic understanding of restaurant or bakery equipment maintenance preferred.
  • Valid driver’s license and willingness to travel regularly between bakery locations.
