Job Purpose
The Planning & Development Coordinator is a high-level project administration and executive support role within WeGo's Development Division, which encompasses Planning, Schedule Development, Engineering/Construction, Capital Project Delivery, Communications, and Government Relations. This position provides tactical project support, executive assistance to the Deputy CEO, and cross-departmental coordination that helps drive successful delivery of WeGo's strategic objectives, playing a central role in advancing Planning & Development initiatives across the agency.
The ideal candidate is organized, adaptable, and eager to contribute to Nashville's evolving public transit system. This role offers exposure to the leadership, policymaking, and operational aspects of transit and community development, along with the opportunity to work closely with senior leadership on high-visibility projects.

Job Functions
- Coordinate capital project activities, including tracking deliverables, schedules, and milestones for Development initiatives
- Maintain project dashboards, calendars, and documentation to support accurate project monitoring and leadership review
- Coordinate consultant and contractor communications, including scheduling, correspondence, and follow-up on deliverables
- Prepare scopes of work, procurement documents, and manage procurement activities in coordination with consultants and contractors
- Track project schedules, resource requests, and documentation to ensure compliance with organizational standards
- Prepare project status reports, fact sheets, and visual presentations for internal and external stakeholders
- Support preparation of grant applications and reporting for transit capital funding
- Conduct research and compile data on transit-oriented development, corridor planning, and community partnerships
- Monitor land use and development activity along transit corridors
- Process invoices and assist with budget tracking for key capital projects
- Coordinate submission of required reports to funding partners and oversight agencies
- Maintain shared departmental calendars, project files, and document archives
- Document and improve departmental processes
- Provide scheduling and logistical support for the Deputy CEO's meetings, events, and engagements in support of the Planning & Development Division's priorities
- Assist in preparing briefing materials, talking points, presentations, and correspondence on behalf of the Division
- Support interdepartmental coordination and information flow across the Division
- Monitor and track key deadlines, flagging priorities relevant to the Division's initiatives
Knowledge/Skills
- Working knowledge of project management principles (timelines, milestones, status tracking)
- Discretion and judgment in managing executive-level scheduling and competing priorities
- Strong written communication skills, with the ability to write in another's voice for correspondence and talking points
- Proficiency in presentation and document design software
- Understanding of procurement processes and contract/consultant management
- Knowledge of grant funding cycles and compliance requirements, particularly for transit capital programs
- Research methods and data analysis skills
- Familiarity with transit-oriented development, corridor planning, and land use principles
- Basic budgeting and financial tracking knowledge (invoice coding, expense monitoring)
- Understanding of reporting standards required by external funding or oversight bodies
- Records management and organizational systems knowledge
- Process improvement and documentation methodology
- Interpersonal skills for cross-departmental and external stakeholder coordination
Minimum Qualifications
- 3-5 years of professional experience, preferably in a public sector, transit, or community development setting
- Bachelor’s degree in public administration, Urban Planning, Political Science, Business, or related field
- Professional discretion and ability to manage sensitive information with confidentiality
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Familiarity with project management tools, GIS, or Adobe Creative Suite a plus
- Interest in public transportation, community development, and government relations
- Experience supporting construction, engineering, infrastructure, or capital improvement projects preferred, including familiarity with construction terminology and project documentation
