Job Description Summary
The University of South Alabama’s College of Medicine’s Research Office is seeking to hire a Pre-Award Grant Specialist – COM. Interested candidates should apply to be considered.
Essential Functions
These are the job duties required of the position.
Essential Functions
  • Develops and reviews budgets and other administrative documents, prepares and reviews application packages, and collects appropriate institutional approvals prior to submission.
  • Facilitates all aspects of proposal preparation and submission process to ensure proposals meet federal, sponsor, and university guidelines.
  • Provides guidance regarding sponsor, federal, and University policies and procedures governing sponsored programs.
  • Maintains accurate proposal records and data to support institutional reporting, compliance, and audit requirements.
  • Monitors accuracy of data for internal and external reporting.
  • Ensures proposal requirements, sponsor deadlines, and institutional deliverables are met.
  • Maintains a portfolio of active proposals.
  • Establishes and maintains collaborative working relationships with investigators and departmental administrators throughout the proposal development process.
  • Coordinates with subrecipients, consultants, vendorsm and collaborating institutions to obtain required documentation and institutional approvals.
  • Reviews funding opportunity announcements and sponsor guidelines to identify administrative requirements, compliance considerations, and submission risks.
  • Reviews proposal documents for compliance with sponsor, federal, state, institutional, and College of Medicine requirements and identifies issues requiring resolution prior to submission.
  • Develops, reviews, and validates proposal budgets, budget justifications, cost-sharing commitments, and subrecipient documentation to ensure accuracy, allowability, and compliance with sponsor and institutional requirements.
  • Maintains complete and accurate proposal documentation within Cayuse and other electronic research administration systems.
  • Maintains current knowledge of sponsor regulations, federal guidance, institutional policies, and electronic proposal submission systems including Cayuse, Grants.gov, eRA Commons, Research.gov, SciENcv, and sponsor-specific portals.
  • Works with team members and Pre-Award Grant Manager to facilitate proposal submissions.
  • Manages post award actions of sponsored projects for assigned departments, including modifications, no-cost extensions, re-budgets, PI changes, allowability questions, and other post-award related actions.
  • Prepares modification requests, no-cost extension requests, PI changes, and any other communications to sponsors in a timely and professional manner and following University and College of Medicine procedures.
  • Disseminates award documents from central administration and acquires documents such as revised budgets, revised scope of work, and protocol approval to set up award with Contract and Grant Accounting.
  • Communicates with Post-Award Grant Specialist to hand off post award actions for financial review and maintenance.
  • Processes prior approval and non-prior approval requests to funding agencies and central administration.
  • Collaborates with Post-Award Grant Specialist, PI and department administrators to prepare final reports as required by sponsor.
  • Assists with other post-award related actions as needed.
  • Complies with all University and College of Medicine pre-award procedures.
  • Ensures that College of Medicine approvals are obtained and routes proposals to central Sponsored Programs Administration for final review and submission.
  • Utilizes electronic research administration systems such as Cayuse and PIVOT as well as sponsor systems as needed.
  • Maintains knowledge of all University and College of Medicine polices and procedures and/or where to locate them.
  • Implements policies and procedures in daily activities and communications.
  • Inputs all required data into Cayuse accurately and in a timely manner to ensure compliance with university requirements.
  • Maintains communication with sponsors and faculty to ensure timely compliance with all requests related to sponsored project activities.
  • Responds promptly and professionally to questions and requests from Department staff, university faculty, or administrators regarding proposal and post award actions.
  • Facilitates communication with sponsors to resolve issues in a timely manner for pre and post-award questions.
  • Functions as a liaison between sponsors, faculty, and departmental administrators.
  • Serves as backup to other Pre-Award Grant Specialists as needed.
  • Regular and prompt attendance.
  • Ability to work schedule as defined and additional hours as required.
  • Related duties as required.
