- Coordinate multiple medical communications projects simultaneously, ensuring timelines, deliverables, and project milestones are tracked and completed efficiently.
- Manage medical, legal, and regulatory (MLR) review processes, including submissions, status tracking, stakeholder communication, and coordination with internal reviewers.
- Organize internal and external meetings, prepare agendas, capture meeting notes, and distribute clear action items and project updates.
- Support project financial administration by assisting with invoicing reviews, reconciliations, Sunshine Act reporting, and other client reporting requirements.
- Collaborate with external vendors to coordinate meeting logistics, including venue sourcing, travel arrangements, audiovisual requirements, catering, and event execution.
- Facilitate assignment team meetings, maintain project documentation, identify workflow challenges proactively, and help implement effective solutions to keep projects moving forward.
- Bachelor's degree in communications, marketing, advertising, journalism, or a related discipline; other academic backgrounds will also be considered.
- 0–2 years of professional or internship experience in a client services, agency, project coordination, or related environment.
- Strong organizational and multitasking skills, with the ability to manage numerous concurrent projects and competing deadlines.
- Excellent written and verbal communication skills, with a collaborative and proactive approach to problem-solving.
- Intermediate to advanced proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook, and Project.
- Experience supporting project managers, coordinating timelines, or developing project schedules is considered an asset.
- Ability to thrive in a fast-paced environment while maintaining exceptional attention to detail and a solution-oriented mindset.
- Competitive salary ranging from $41,600 to $62,400 annually, based on experience and qualifications.
