The Chief of Staff will serve as a trusted right hand to a private principal, providing high-level personal, lifestyle, and administrative support across an international portfolio of residences. This role requires exceptional organization, discretion, and the ability to anticipate needs while managing a demanding and frequently changing schedule. You will coordinate complex travel, personal appointments, social engagements, and special projects while ensuring seamless communication between household teams and external service providers. Working primarily remotely, you will support activities spanning New York City, the Hamptons, South Florida, and London. The position offers a dynamic environment for an experienced private service professional who excels at solving problems, managing competing priorities, and delivering personalized support. The successful candidate will combine sound judgment, flexibility, and meticulous attention to detail to ensure every aspect of the principal's lifestyle runs smoothly.

Accountabilities:

The Chief of Staff will oversee day-to-day personal and lifestyle coordination, ensuring consistent organization and seamless support across multiple residences. Key responsibilities include:

  • Manage an extensive and frequently changing personal calendar, including appointments, meetings, social engagements, and philanthropic commitments.
  • Coordinate domestic and international travel arrangements, including flights, accommodations, ground transportation, reservations, and detailed itineraries.
  • Proactively manage last-minute travel changes, cancellations, and scheduling conflicts.
  • Coordinate personal appointments, medical scheduling, follow-ups, and daily administrative requirements.
  • Organize social engagements, cultural activities, museum-related commitments, and special events.
  • Serve as the central point of contact between the principal, household staff, vendors, and other relevant stakeholders.
  • Coordinate activities across residences in New York City, the Hamptons, South Florida, and London, ensuring effective communication and continuity.
  • Work closely with established House Managers and household teams without directly managing the properties.
  • Assist with household staffing schedules, coverage arrangements, and personnel coordination when needed.
  • Monitor household requirements, arrange replenishment of personal and household items, and ensure residences are prepared for the principal's arrival.
  • Research and coordinate special projects, personal requests, travel experiences, and lifestyle services.
  • Maintain accurate and organized records, schedules, reservations, and important personal information.
  • Anticipate the principal's needs, identify potential challenges, and implement solutions proactively.
  • Attend in-person meetings and travel domestically or internationally as required for household matters and special projects.

Requirements:

The ideal candidate will have substantial experience in private service and a proven ability to support high-net-worth individuals or families with complex lifestyles. Exceptional discretion, reliability, adaptability, and independent judgment are essential. Candidates should demonstrate the following qualifications:

  • Legal authorization to work in the United States.
  • Significant experience as a Personal Assistant or Executive Personal Assistant.
  • Previous experience supporting ultra-high-net-worth (UHNW) individuals or families with demanding personal and lifestyle requirements.
  • Exceptional calendar management, scheduling, planning, and organizational skills.
  • Extensive experience coordinating domestic and international travel, including complex itineraries and last-minute changes.
  • A strong understanding of professional private service standards and personalized client support.
  • Excellent written and verbal communication skills.
  • A high degree of discretion, trustworthiness, professionalism, and resourcefulness.
  • The ability to work independently, manage competing priorities, and remain organized in a constantly changing environment.
  • Strong problem-solving skills and exceptional attention to detail.
  • Experience coordinating with established household teams, House Managers, vendors, and external service providers.
  • Flexibility and adaptability to accommodate schedule changes and time-sensitive requests.
  • Willingness and ability to travel domestically and internationally when required.
  • Ideally based in New York City, with availability for regular in-person meetings and occasional visits to other residences.
  • A polished, personable demeanor and a proactive, service-oriented approach.
  • Strong professional references and a demonstrated history of successful private service experience.

Benefits:

  • Competitive salary based on experience and qualifications.
  • Paid time off.
  • Medical benefits.
  • Primarily remote working arrangement, with scheduled in-person meetings and residence visits.
  • Opportunity to support an international lifestyle across multiple residences and locations.
  • Immediate start available for the right candidate.
