Position Summary
The Audience Services Coordinator serves as a welcoming and responsive first point of contact for Austin PBS audiences, members, visitors, and community partners. This position provides front desk and customer service support for the organization, responding to and directing phone calls, emails, and in-person inquiries with professionalism and care.
In addition to audience services responsibilities, the Coordinator provides administrative support to the Membership and Events teams, including donation processing, database projects, grants calendar maintenance, and event support. This role is ideal for someone who is highly organized, service-oriented, detail-focused, and comfortable balancing a variety of responsibilities in a collaborative environment. This position reports to the VP of Membership & Institutional Giving.
Essential Duties and Responsibilities
Audience & Visitor Services- Serve as the primary receptionist and first point of contact for Austin PBS visitors, members, viewers, and community members.
- Welcome and assist visitors to the Austin PBS facility and connect them with the appropriate staff member or department.
- Answer the organization's main phone line and respond to or appropriately route incoming calls.
- Monitor and respond to general audience and customer service emails, escalating questions or concerns when appropriate.
- Assist members and viewers with common questions related to membership, programming, Passport, events, donations, and Austin PBS services.
- Maintain a professional, welcoming, and service-oriented experience for everyone interacting with Austin PBS.
- Process donations received by check and ensure gifts are accurately entered and documented according to established procedures.
- Assist with donor database projects, including data entry, data cleanup, record updates, and other projects as assigned.
- Support the Membership team with administrative projects and donor/member services as needed.
- Maintain the organizational grants calendar, including key dates for LOI submission, applications, reporting, and renewal.
- Assist with tracking grant-related documentation and gathering reporting information from key program staff.
- Maintain accuracy and confidentiality when working with donor and member information.
- Provide administrative and logistical support for Austin PBS events.
- Assist with event preparation, including organizing materials, preparing guest-facing items, and other pre-event needs.
- Assist with event setup and breakdown as needed.
- Support guest check-in, wayfinding, and other audience-facing activities during events.
- Provide general administrative support to the Events team and other departments as assigned.
- Assist with special projects and other duties that support Austin PBS operations and audience experience.
- Create Event Proof of Performance (POP) reports
- Provide occasional evening and weekend support for Austin PBS events.
- Serve as a point of contact for guests during events, providing directions, information, and general assistance.
- Help prepare and organize event materials, giveaways, programs, signage, promotional materials, and supplies.
- Assist with coordinating the movement and storage of event supplies and materials before and after events.
Qualifications
- High School diploma required.
- Previous experience in customer service, reception, administrative support, nonprofit organizations, membership, special events, or a related field preferred.
- Excellent interpersonal and customer service skills.
- Strong verbal and written communication skills.
- Working knowledge of Google Workspace, including Google Sheets, Slides, Docs, Drive, and Gmail, with the ability to organize data, maintain tracking documents, create presentations, and support event logistics.
- Highly organized with strong attention to detail and accuracy.
- Ability to manage multiple responsibilities and shift priorities as needed.
- Comfortable working with databases and learning new technology and software.
- Ability to handle confidential donor and organizational information appropriately.
- Ability to work collaboratively across departments and interact professionally with a wide range of people.
- Willingness to occasionally work evenings or other nontraditional hours in support of Austin PBS events.
