JOB SUMMARY: The Client Service Specialist serves as a key point of contact for clients, installers, and project managers - managing order entry, verifying measurements and material quantities, and keeping projects moving accurately through our systems. This role requires sharp attention to detail, the ability to learn and juggle multiple systems quickly, and confident communication across departments and out in the field. This position supports operations across Chesapeake, Raleigh, and Charlotte by processing orders, coordinating customer service activities, supporting scheduling needs, and ensuring regional coverage.

Requirements:

RESPONSIBILITIES & DUTIES:

  • Field a steady volume of incoming calls related to telephonic orders, warehouse deliveries, invoice inquiries, and inspection visits, problem-solving in real time
  • Support customer service, order processing, scheduling coordination, and workload distribution across Chesapeake, Raleigh, and Charlotte, providing backup coverage as needed to maintain timely responses and efficient operations
  • Monitor shared and individual inboxes throughout the day, prioritize time-sensitive and same-day requests, confirm receipt, and route information to the appropriate operational teams
  • Manage daily communication with installers — providing job information, updates, logistical support, and troubleshooting issues as they come up
  • Verify and document accurate measurements and material quantities (square footage, linear footage, cut sheets); accuracy here directly impacts what material gets shipped to job sites
  • Enter and manage orders received via email from property managers
  • Accurately document order details, status updates, and customer notes within internal systems
  • Maintain clear, consistent communication with project managers regarding order progress and site updates
  • Facilitate coordination between project managers and property representatives to ensure accurate project execution
  • Learn and toggle between multiple systems quickly — scan, rename, and upload cut sheets, vinyl, and carpet work order packets to Global and Pilot
  • Support order entry and fulfillment processes, helping keep daily operations running smoothly through system changes and process updates
  • Greet, admit, and escort office visitors and clients in a professional, courteous manner
  • Keep project-related documentation accurately filed, organized, and easy to retrieve

QUALIFICATIONS:

  • At least 2 years of experience in customer service, administrative support, or data entry
  • Strong attention to detail and accuracy with numbers and measurements
  • Fast learner who's comfortable picking up and switching between new software systems
  • Excellent verbal and written communication skills, including confidence handling installer and customer calls
  • Strong problem-solving abilities and the ability to multitask in a fast-paced environment
  • Proficiency in Microsoft Office and experience using CRM or customer service software
  • Experience supporting multiple locations or markets simultaneously
  • Strong organizational skills and ability to manage a high-volume workload
  • QFloors experience preferred
  • High school diploma or equivalent required; associate's degree preferred
