Billing Specialist
We are looking for a detail-oriented and customer-focused Billing Specialist to support the invoicing and revenue operations of our growing company. This role plays a key part in ensuring accurate, timely, and contract-compliant client billing for managed services, projects, and product sales. The ideal candidate thrives in a fast-paced environment and enjoys working cross-functionally with finance, service, and account management teams.
Key Responsibilities:
· Generate and process accurate invoices for recurring managed services, time and materials, projects, and product sales.
· Review contracts, proposals, and service agreements to ensure billing aligns with client terms.
· Monitor billable time entries and expenses logged by technicians and validate before billing.
· Assist in maintaining billing schedules, recurring contract renewals, and price changes.
· Communicate with internal teams to clarify service details, contract terms, or discrepancies.
· Respond to client billing inquiries in a timely, professional manner and resolve any issues or disputes.
· Work with PSA tools (e.g., ConnectWise Manage, Autotask) to manage billing data and workflow.
· Support the month-end close process by preparing billing summaries and revenue reports.
· Identify and recommend process improvements to enhance billing accuracy and efficiency.
Qualifications:
· 2+ years of billing, accounts receivable, or finance experience; MSP or IT services industry experience preferred.
· Experience with PSA tools (ConnectWise, Autotask, etc.) and accounting software (e.g., QuickBooks, NetSuite).
· Familiarity with managed services contracts, recurring billing, and project invoicing models.
· Strong attention to detail and excellent organizational skills.
· Proficiency in Microsoft Excel and other Office tools.
· Clear communication skills, both written and verbal, with a focus on client service.
· Ability to work independently and collaboratively in a deadline-driven environment.
· Experience reconciling time and expense entries with service tickets or projects.
· Understanding of tax implications for IT services and products.
· Familiarity with CRM/ERP integration for billing workflows.
