Senior Production Coordinator

This role sits at the center of high-impact live event production, supporting the delivery of large-scale activations, expos, and experiential programs for globally recognized brands. You will help coordinate complex production workflows from pre-production planning through onsite execution, ensuring every detail aligns across teams, vendors, and timelines. Working in a fast-paced, highly collaborative environment, you will support producers in keeping projects on track, organized, and execution-ready. The role combines operational precision with real-time problem solving during live events, where adaptability and attention to detail are essential. You will also gain exposure to world-class productions while contributing directly to seamless attendee and client experiences. Accountabilities
  • Support end-to-end production coordination for live events, expos, and activations, assisting producers across planning, scheduling, and onsite execution phases.
  • Develop and maintain production schedules, workback timelines, and workflow tracking tools to ensure all project milestones are met.
  • Coordinate logistics including crew travel, accommodations, meals, security arrangements, and vendor deliverables.
  • Maintain accurate production documentation, calendars, file systems, and vendor databases to support operational efficiency.
  • Provide onsite production support for assigned programs, including small activations and breakout sessions with occasional client-facing responsibilities.
  • Assist with post-event processes such as archiving, documentation, and project debrief preparation.
  • Liaise across internal teams and external vendors to ensure alignment on deliverables, timelines, and production standards.
Requirements
  • 3+ years of experience in production coordination, event production, or related operational roles within fast-paced environments.
  • Strong organizational and multitasking skills with the ability to manage multiple deadlines and shifting priorities.
  • Proficiency in productivity and collaboration tools such as Google Workspace, Microsoft Office, Excel, and scheduling platforms.
  • Excellent written and verbal communication skills, with the ability to interact professionally across teams and vendors.
  • High attention to detail, self-motivation, and ability to work independently with limited supervision.
  • Strong problem-solving skills and ability to respond quickly to issues in dynamic, onsite environments.
  • Willingness and ability to travel up to 50% annually, including onsite event support as needed.
  • Preferred experience in live events, experiential marketing, or agency production environments.
