About This Position

Commercial Express HVAC, located in Sterling, Virginia, is seeking a Project Scheduling Coordinator who is responsible for managing and coordinating the scheduling of commercial HVAC projects to ensure on-time delivery, efficiency, and customer satisfaction. This role involves close collaboration with project managers, technicians, and clients to create and maintain schedules that align with project requirements, company objectives, and resource availability. This is an excellent opportunity for individuals with strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.

Key Responsibilities:

  • Develop, update, and maintain project schedules for all commercial HVAC installations.
  • Coordinate with project managers, field superintendents and technicians to ensure resource availability.
  • Monitor project timelines to identify potential delays and implement corrective action.
  • Communicate schedule changes promptly to all affected parties.
  • Maintain accurate records of project schedules, milestones, and resource allocation in scheduling software.
  • Maintain accurate records and data related to completed and ongoing work.
  • Generate regular reports on jobs in progress, backlog revenue, and other department-related data.
  • Manage work orders and ensure they are entered accurately for billing purposes.
  • Assist in the preparation of invoices for completed work.

Required Qualifications:

  • Prior experience in a busy office environment, with a proven ability to handle multiple tasks.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
  • Fast and accurate data entry skills.
  • Strong attention to detail and organizational skills.
  • Must be reliable and dependable.
  • Experience or familiarity with the HVAC, electrical, plumbing, or construction industries is highly preferred.
  • Experience in dispatching and scheduling is a plus.
